Virtues Project International Association (VPIA) is a Canadian non profit organization registered in 2013. We are a group of dedicated volunteers from around the world striving to advance The Virtues Project by building a strong organization to support our mission; partnering with like-minded organizations; strengthening, uniting and supporting our grassroots global community of facilitators; and by offering The Virtues Project products and services. Purpose: To sustain the integrity and growth of The Virtues Project. Vision: A world where virtues are valued, acknowledged and practiced. Mission: Inspiring the practice of virtues in homes, schools, workplaces and communities, with five simple strategies. We are looing for Volunteers leads, one each to serve within the following departments: 1. Volunteer Lead -Communications 2. Volunteer Lead - IT / Technology 3. Volunteer Lead - Finance, Audit & Risk Management (FARM) 4. Volunteer Lead - Board (working with the Chairperson of the Board) Volunteer leads will serve at the direction of the various heads of departments (Board heads) and will be given the necessary resources to work. We are looking for people who have the following qualities: 1) Lead with integrity, commitment, tact, passion and diligence 2) Able to work with teams and their Board Director 3) Excellent English communication skills - written and spoken 4) Willing to learn and grow Experience / Skills 1) At least two (2) years experience working as a leader with teams. 2) Project Management / Co-ordination experience or qualifications handy (not essential). 3) Previous experience the department being applied to is considered an asset. Virtues Project International Association is a Global Organisation. We have an exciting position to make a real difference to the World. The Treasurer will oversee the financial matters of the organisation in line with good practice and in accordance with the governing document and legal requirements. The Treasurer reports to the Finance, Audit and Risk Management (FARM) chair at regular intervals about the financial health of the organisation. Key duties include: Ensuring budget is prepared and presented to the Board within agreed timelines; Preparing variance comparison between approved budget and actual performance; Attending monthly Board meetings to present the financial report and respond to questions; Ensuring FARM chair receives financial information to be able to monitor the financial situation of the organisation; Providing input into the organisation’s strategic plan and initiatives; Performing other tasks and projects as assigned by the FARM chair.

Assistant Treasurer The Assistant Treasurer will assist the Treasurer with the financial matters of the organisation in line with good practice and in accordance with the governing document and legal requirements. The Assistant Treasurer manages Quick Books records and functions and prepares the records for the annual financial review. Key duties include: Ensuring accounting records are maintained as required by law. This is done in collaboration with the Accountant; Supporting the Accountant, auditors and relevant stakeholders to ensure financial statements are reviewed and presented to the Board members within timelines; Setting and reviewing financial policies, maintaining a system of internal controls and providing financial advisory support to members of the organisation; Understanding revenue sources and contracts with partners, identifying revenue leakages and areas of improvement to ensure positive cashflow for the organisation; Providing temporary cover for the Treasurer or the Accountant (when required); Performing other tasks and projects as assigned by the FARM Chair. ***

This is an unpaid volunteer position on the Board of Directors. The Board Secretary is responsible for ensuring that accurate and sufficient documentation exists to meet legal requirements and to enable authorized persons to determine when, how, and by whom the board's business was conducted. In order to fulfill these responsibilities, the Secretary records minutes of meetings, requests feedback to ensure their accuracy, provides availability, proposes policies and practices and performs other duties as the need arises. The Secretary is both a Board member and an Officer of VPIA. RESPONSIBILITIES The secretary maintains records of official meetings and is custodian of corporate records and official filings, coordinates Board communication, works with the Chairperson to prepare Agendas for Board meetings, and functions as parliamentarian at meetings. Specific responsibilities include: Ensure that accurate minutes of meetings are taken and approved. As custodian of records, ensure that the records of the organization are maintained as required by law and made available when required by authorized persons. These records may include founding documents, (eg. letters, patents, articles of incorporation), lists of directors, board and committee meeting minutes, financial reports, and other official records. Maintain official records of members of the Board. Make available an up-to-date copy of the bylaws as needed for meetings. Manage the schedule of Board meetings and ensures that proper notification is given to Board members and guests as specified in the bylaws. Manage the general correspondence of the Board of Directors except as such correspondence is assigned to others. Assist the Chairperson with preparation of agendas for Board and Executive Committee meetings. If designated by the Board of Directors, the Secretary may be authorized or required to sign or countersign cheques, correspondence, applications, reports, contracts or other documents on behalf of organization. Function as the registered agent with respect to the laws of the jurisdiction, i.e., the person upon whom legal notice to the corporation is served, and who is responsible for ensuring that documents necessary to maintain the corporation are filed, e.g., roster of directors, and corporate address changes. REQUIREMENTS The Board Secretary will demonstrate a range of experience in the not-for-profit sector and knowledge of how organizations operate. The Secretary must be able to exercise good judgment and discretion in determining what to record and what to omit from official records. Mastery of word processing technology is a must; familiarity with the Google Suite of products is a plus. Strong interpersonal skills, with excellent verbal and written skills; attention to detail; and follow-through are very important for this role. The Board Secretary must be a self-starter who can juggle multiple priorities and function well without a formal work structure.
