Overview: Agate Housing and Services helps people experiencing homelessness with the mission of ending homelessness and hunger. The agency addresses a variety of issues surrounding homelessness, and one example is the Representative Payee Program, which currently helps 500 clients manage their finances. Each Payee acts as a receiver for a client’s Social Security Disability or Supplemental Security Income payments. These services ensure bills are paid, and that spending money is distributed on a routine basis. Social Security mails them correspondence regarding each client at various times of the year. Agate is looking for an Administrative Assistant who can support their department by filing social security letters and client checks over the summer. This supports Representative Payees by keeping them organized and increasing their capacity to focus on their highest priorities. The Administrative Assistant would also help other departments with similar work as needed. We have another, long-term Administrative Assistant coming back around mid-September, but there may be opportunity for the Summer Assistant to extend their administrative support in other areas of the agency. Primary Responsibilities: Helping file all letters received from Social Security Helping file all checks issued to client Helping with other administrative needs Training and Confidentiality: This individual will receive full training and orientation in their specific role, as well as a tour of the facility in which they will be working. They will be informed about our organization, services, and how their commitment impacts our work in the community. The Administrative Assistant can expect to be trained how to file correspondence letters and client checks. The Administrative Assistant will be exposed to personal information and will be required to sign a volunteer handbook which states the volunteer will not share any of this information. Support and Supervision: The Administrative Assistant’s on-site supervisor will be Anindita Bhattacharya, the Accounting Manager. The volunteer should direct their questions, comments, and concerns directly to Anindita Bhattacharya. If at some point their on-site supervisor is unavailable, the volunteer can also reach out to other staff members within the department, like Representative Payee, Kristi Mercer. Commitment: 3 month minimum Weekly Flexible on hours In-person Location: 2309 Nicollet Ave, Minneapolis, MN, 55404 Requirements: Excellent communication skills in English (written and verbal) Ability to alphabetize letters and file Ability to work independently and with a team Available during weekday office hours (E.g., 9:00AM - 5:00PM) Impact: Staff in the Representative Payee department serve around 500 clients and are responsible for keeping track of all client files and information. Their highest priority is serving their clients, who often call frequently or come in during office hours, every day. It can be stressful and difficult to keep a current record of every Social Security correspondence and every client’s check, while working directly with clients on a daily basis. The Administrative Assistant can help relieve stress by taking on this task of sorting and organizing. This frees up Payees which can improve the quality of their daily engagements and service delivery. Support participants of our shelters, street outreach, free public showers, and supportive housing programs by providing them with the essential personal care items they need. Volunteers purchase materials, assemble kits, and drop them off at our main office by appointment (see details below). Instructions: Choose 4-5 first priority items and then include however many second priority items you would like. First priority items: Bar soap Shampoo (shampoo options for textured/curly hair is our highest need) Conditioner (shampoo options for textured/curly hair is our highest need) Toothpaste and toothbrush Deodorant Razor and shaving cream Second priority items: Body Wash Shower shoes Lotion Non-alcohol based mouthwash No Rinse Body Wash No Rinse Shampoo Washcloth Comb or brush Guidelines and notes (must read before assembly): Products included in packs must be new and unopened. Snack packs are given to our program participants who arrive at our Welcome Center to access supportive services. Being able to offer 'quick fuel' in the form of a small resource like this creates a positive community atmosphere in our spaces while clients access needed services. Snack packs are typically sandwich-size zip lock bags, paper lunch bags, or drawstring bags that include non-perishable foods, water bottles on the side, etc. Volunteers purchase supplies and assemble bags on their own time, then schedule a drop-off with Agate staff (contact info below). Below is our suggested list of what to include (feel free to include as few or as many of these items as you're able, into bags with 3-4 snack foods per bag): Beef Jerky Protein shake Granola or soft textured Nutrition Bars Trail Mix Pudding Cups Fruit Snacks Small Cookie Packs Small Cracker Packs Bottled Water or Water Bottles (on the side if using a snack bag that doesn't accommodate their size) Juice Boxes/Bags Snack Crackers Candy Dried Fruit Plastic Utensil Packets, or Reusable Utensils Guidelines and notes (read before assembly): Products included in packs must be unopened and prior to their Best By, Use By, or Expiration date. When we transition someone into their own home, they often don’t have everything they need and must wait weeks to get those supplies. It can be challenging for them if they don’t have a TV to watch, a book to read, or crafts/games to keep themselves busy during that period. Additionally, with the current COVID-19 pandemic, our on-site supportive housing residents (and shelter residents) have been left with fewer options to keep themselves busy and enjoy their free time. It has been a tremendous challenge for our residents who are used to spending their time visiting friends and family as well as visiting congregate community spaces that are no longer available. As human beings, we all deserve to relax and entertain ourselves as we navigate life. Help out our residents by providing with them Comfort Kits! Please assemble the following items in bags, backpacks, tupperware containers, or gallon Ziploc bags. Adult-focused Comfort Kits: Adult coloring books Journal or notebook Gift cards (e.g., coffee shop, grocery store, etc.) Art Supplies such as... Sketchbooks, watercolor or other painting supplies, colored pencils, markers, etc. LED battery-operated candles ( example) Crosswords, sudoku, or word puzzles Bath bomb or bath salts (must be new and unopened) Chocolates or candy (must be new and unopened) Origami kit Sewing kit Card game Board game Puzzles (500 piece or less preferred) Sculptors clay set Books (e.g., related to self care or self growth) Pre-teen and older youth-focused Comfort Kits: Gift cards (e.g., Target, clothing stores, game stores, etc.) Headphones/Earbuds Art Supplies such as... When you adopt a meal, you are offering your generosity to people experiencing homelessness and those transitioning out of it. You will be invited to bring a bounty of food on-site and serve meals for our shelter guests and permanent residents. We have two buildings that receive meals: the 510 Board and Lodge, and the FCC Shelter. This is for groups of 4-6 people, 14 years and older. Whether it’s you and your friends, family, co-workers, or club members, you have a few options: Provide and serve 48 meals @ 810 S 7th St, Minneapolis, MN 55415 Provide and serve 108 meals @ 510 S 8th St, Minneapolis, MN, 55404 Provide and serve 156 meals total at BOTH locations This could be lunch, served at 11:00AM, or dinner, served at 5:00PM. 810 S 7th St is for the FCC Shelter, primarily pairs/couples staying together. 510 S 8th St. houses our permanent residents (men and women), as well as our male shelter guests. Both of these locations are downtown and would be grateful for your contribution. You would cook/acquire the meals, deliver them here, and then you have the option to serve the meal. Please keep in mind that we do not require background checks for our shelter guests, as that would create a barrier, meaning we accept people from all kinds of backgrounds and circumstances. We also run our shelters 24 hours a day, which impacts the number of people picking up food during mealtimes.
