Goal is to find the best entertainment for the festival that is family oriented. To direct/guide the volunteers before, during, and after the performer has done their show(s). So that the performer will be comfortable before, during and after the show(s). To work with the venue to make sure the stage, audio, visuals are in order. Ensure all music has been cleared through the appropriate channels. (ASCAP, BMI, VENUES, PSC BOD, ETC). They must create a schedule of the entertainment line up for the event. The coordinator will work closely with the festival director. They will be responsible for ensuring that all entertainers sign a contract for their performance. The contract will be electronically signed and a digital copy will be kept by the entertainment coordinator.

They will implement best practices and develop planning standards, policies and procedures for review & final approval by the Vice President. This includes the approval of the final selection of venues, vendors, catering, technology, and other event services. The coordinator will also work with the Vice President to review and approve all contracts and must ensure that each event stays within budget. The Development Coordinator will form and manage a committee of volunteers to help create, manage, and market all events. The coordinator will communicate all marketing and volunteer needs to those committee directors for each event in a timely manner. The coordinator must give a monthly briefing to the Vice President. This information will be presented to the board of directors by the vice president of their committee’s progress and intended events. The individual for this position should be flexible, work efficiently under pressure, be proficient with the Google platform (Google drive, mail, calendar, meet, etc.), and possess the ability to communicate effectively orally as well as digitally. Take direction from multiple people and adapt to moving from one task to another efficiently. The ability to be assigned a task and complete it on time. They should also have the ability to develop a line item budget. This individual must be able to work well as a team member as well as a team leader.

Sponsorship Coordinator Reports to Treasurer, Board of Directors - Pride St. Charles (Missouri) Term: 2 year term Send an email of interest to president@pridestcharles.org ASAP. Must be available to make a three minute informal speech at the next scheduled Board of Directors meeting. Meetings are held via Google Meet generally on the second Sunday of the month at 10:30 AM. An invitation with the link to the Google Meet will be sent to you following your email of interest. The Sponsorship Coordinator is responsible for implementation of the annual sponsorship campaign as well as maintaining relationships with the existing sponsors throughout the year. The Sponsorship Coordinator & their committee runs the annual Sponsorship fund raising program based on a budget goal established by the board. The sponsorship coordinator is responsible for tracking commitments, issuing invoices, creating contracts, updating ask letters and other collateral material. The Sponsorship coordinator & their committee is responsible for a number of different events including but not limited to: Festival, Black Cat Ball, Fall Activity, Winter activity, Trivia Night & any other events planned by the Development committee. To report on all sponsorship matters relating to Pride St. Charles to the Board of Directors To build long term relationships with sponsors encouraging them to continue sponsoring Pride St. Charles Create a target List and actual list of sponsors for each committee member to market as above Create Marketing collateral for each event for each year in collaboration with Marketing, Merchandise, and Development committees Liaise with leaders of each event and attend meetings as necessary to ensure requirements are met Liaise with Social Media, Marketing, and Design teams on all sponsorship matters to ensure website Information is correct Ensure Sponsors logos are represented at every opportunity and presentation Ensure Sponsors are informed of all publications and feedback Review all packages with sponsors post events to ensure client satisfaction Attend events and promote Sponsorship opportunities to everyone Produce letters of agreement and send to all sponsors of all events Produce invoices for the sponsorship and deliver to sponsors Produce all necessary information to Pride St. Charles Finance officer and Committee The individual for this position should be flexible, work efficiently under pressure, and possess the ability to communicate effectively orally as well as digitally. Festival Director Board of Directors - Pride St. Charles (Missouri) Term: 2 year term with voting rights Send an email of interest to secretary@pridestcharles.org Must be available to make a three minute informal speech at the next scheduled Board of Directors meeting. Meetings are held via Google Meet generally on the second Sunday of the month at 10:30 AM. An invitation with the link to the Google Meet will be sent to you following your email of interest. The Festival director shall oversee all aspects of planning the annual Pride festival. This may include but is not limited to working with the creative committee to update festival information on the website. Securing the site for the festival, arranging all necessary event insurance, completing all required paperwork, reviewing contracts with the Executive Board prior to signing. Arranging for all services needed for the festival such as sanitation, golf cart rental, UHaul rental, etc. Managing the following committees: festival committee, parade committee, entertainment committee, additional teams as the director deems necessary. Scheduling & conducting team meetings and preparing agendas throughout the year. Present reports to the Executive Board. The Festival Director shall stay in constant contact with Executive Board members & other coordinators as needed for the purpose of communicating important festival information. The director shall plan/lead a run of show meeting and vendor meeting prior to the festival to share all pertinent information. The director & their teams will be responsible for planning the activities in the youth village. The individual for this position should be flexible, work efficiently under pressure, and possess the ability to communicate effectively orally as well as digitally. Take direction from multiple people and adapt to moving from one task to another efficiently. They should also have the ability to develop a line item budget. This individual must be able to work well as a team member as well as a team leader. The director shall sign an NDA (Non-Disclosure Agreement) for the organization.
