Volunteer Event Coordinator Job Description: International Cultural Arts Fusion Festival Position Title: Volunteer Event Coordinator Location: New Haven, CT Volunteer Team Reports To: Festival Director Overview: The International Cultural Arts Fusion Festival is a vibrant celebration of global cultures, featuring international foods, performances, games, and art exhibits. We are seeking an organized and dynamic Volunteer Event Coordinator to join our team and ensure the seamless execution of this multicultural event. This volunteer role offers a stipend and is ideal for someone passionate about cultural arts and community engagement. Key Responsibilities: 1. Vendor and Participant Coordination: * Contact and liaise with international restaurants to secure their participation and menu offerings. * Develop and implement procedures for restaurant setup, including booth arrangements, health and safety compliance, and logistical support. * Reach out to museums, cultural centers, and other relevant institutions to secure exhibits and displays. 2. Activity and Entertainment Planning: * Organize and coordinate international games and activities for the festival park area. * Identify and invite live performers, including musicians, dancers, and cultural acts. * Develop detailed schedules and contact plans for performers and activity leaders. 3. Communications and Logistics: * Create comprehensive contact lists and communication plans for all festival participants, including vendors, performers, and volunteers. * Develop detailed event flow charts and itineraries to ensure all aspects of the festival are executed smoothly. * Coordinate with the logistics team to manage setup and teardown processes, ensuring all festival areas are ready on time. 4. Marketing and Promotion: * Assist the marketing team in promoting the event through various channels, including social media, local media, and community outreach. * Prepare informational materials and briefings for participants and attendees. 5. Volunteer Management: * Recruit, train, and manage volunteers to assist with various aspects of the festival. * Assign tasks and responsibilities to volunteers, ensuring they are well-prepared to support festival activities. 6. On-Site Management: * Serve as the primary point of contact for vendors, performers, and volunteers during the festival. * Troubleshoot and resolve any issues that arise during the event to maintain a positive experience for all participants. 7. Post-Event Evaluation: * Conduct post-event evaluations to gather feedback from participants and attendees. * Compile reports on event success, areas for improvement, and key takeaways for future festivals. Qualifications: * Proven experience in event planning and coordination, preferably in cultural or arts events. * Strong organizational and multitasking skills. * Excellent communication and interpersonal abilities. * Ability to work well under pressure and manage time effectively. * Proficiency in Microsoft Office Suite and event management software. * Passion for cultural arts and community engagement.
