Job Overview:

As a Personal Assistant to the CEO, you will be the primary point of contact and support for the Chief Executive Officer, ensuring seamless execution of daily activities and enhancing their productivity. You will handle a wide range of administrative tasks, manage schedules, coordinate meetings, and prioritize communications to enable the CEO to focus on strategic objectives. With confidentiality, professionalism, and exceptional organizational skills, you will play a crucial role in facilitating the CEO's effectiveness and efficiency.

Key Responsibilities:

Schedule Management:

  • Coordinate and manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prioritize and optimize the CEO's time, ensuring alignment with strategic priorities and business objectives.

Communication Coordination:

  • Serve as the primary point of contact for internal and external stakeholders, screening and managing incoming calls, emails, and correspondence.
  • Draft, edit, and proofread documents, presentations, and reports on behalf of the CEO.

Meeting Coordination:

  • Prepare meeting agendas, materials, and presentations, ensuring the CEO is well-prepared for all engagements.
  • Attend meetings with the CEO, take notes, and follow up on action items as needed.

Travel Coordination:

  • Arrange travel logistics, including booking flights, accommodations, ground transportation, and other accommodations as required.
  • Prepare detailed itineraries and travel packs, ensuring the CEO's travel is smooth and efficient.

Confidentiality and Discretion:

  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Maintain confidentiality in all communications and interactions, exercising sound judgment and integrity.

Skills and Qualifications:

  • Bachelor's degree in Business Administration, Communications, or related field preferred.
  • Proven experience as an executive assistant or personal assistant, preferably supporting C-level executives.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Strong communication and interpersonal skills, with the ability to interact confidently and professionally with stakeholders at all levels.
  • Proficiency in English and Spanish at a professional level is highly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional attention to detail and accuracy, with a commitment to delivering high-quality work.
  • Discretion and integrity in handling confidential information and sensitive matters.
  • Flexibility and adaptability to meet the changing needs and demands of the role.
  • Strong problem-solving skills and the ability to think critically and proactively anticipate needs.
  • Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.

Menzies Philanthropic Foundation is a non-profit organization focused on supporting the orphanages globally, based on the Shirley Menzies 5 Key Needs, designed to create the first eco-regenerative conscious community to heal trauma and provide safe homes for orphans and vulnerable families.

The organization is in is operating at the start-up level, currently working to provide a powerful regenerative, self-sustaining business model facilitated by its 'For Profit’, Social Impact Enterprise, and "Me Is We".

Through the development of residual-producing income streams, the "Me Is We" enterprise will supplement and eventually finance the Menzies Philanthropic Foundation’s ultimate goal of creating eco-regenerative conscious communities for wholistic assistance and development.
