Job Description

The Board Secretary will play a critical role in fostering communication and diligence through proper management and utilization of important records such as meeting minutes and the organization's bylaws. The Secretary will be responsible for ensuring accurate documentation in all board-related activities.

Responsibilities

• Maintain all board records and ensure their accuracy and safety.

• Prepare meeting agendas in consultation with the Board Chair and other committee heads.

• Take minutes during board meetings and ensure the minutes are distributed to all members post-meeting.

• Keep copies of the organization's bylaws and the Board's policy statements.

• Oversee the proper recording of all amendments to the bylaws and ensure that all board members have up-to-date copies.

• Handle the board's correspondence and maintain a record of all correspondence.

Qualifications

• Proven experience as a Board Secretary or similar administrative role.

• Strong organizational skills and attention to detail.

• Excellent written and verbal communication skills.

• Ability to maintain confidentiality regarding board matters.

• Proficient in Microsoft Office, with a focus on Word and Excel.

• Experience in managing records and meeting minutes.
