Non-Technical VMS Documentation
Commitment:
12-months, 1 hour a week.
Expectation
Organize all non-technical VMS documentation and documents, data.
Attend a 30 minute meeting once a week. (Typically - 1200 GMT on Thursday)
Role Overview:
This role holds the responsibility of keeping all the non-technical VMS documentation and data organized and findable.
Compensation:
Volunteer, or 40 Greenstand Impact tokens a month
Reports to:
Grants Team, Documentation Lead

AREAS of RESPONSIBILITY
The Volunteer Management System (VMS) at Greenstand involves managing and supporting the lifecycle of volunteers, from onboarding to ongoing engagement. Proper documentation is essential to streamline these processes, especially to ensure efficient automation and volunteer experience improvements.
This role is responsible for documenting VMS processes, from setting up workflows for onboarding to creating templates and process guides for the leadership team.
Required tasks
Organize VMS Documentation :
Sort, categorize, and consolidate existing VMS documents from Google Drive, Gitbook, and Slack channels.Maintain File Structure :
Ensure all VMS-related documentation is easy to navigate, logically structured, and properly labeled across platforms.Update VMS Documentation :
Assist in reviewing and updating the VMS process flows and onboarding templates to reflect current practices and automation efforts.Manage Version Control :
Track document updates, changes, and version history, ensuring the latest versions are accessible to the team.Collaborate with VMS Team :
Work with the Volunteer Coordination and HR teams to gather missing documents, clarify process content, and ensure accuracy.Document VMS Automation :
Capture automation-related processes for volunteer onboarding and engagement, including Slack bot integration, application form handling, and task list generation.Ensure Accessibility :
Ensure key VMS process documentation is easily accessible to team members across platforms, including Gitbook, Slack, and Google Drive.
QUALIFICATIONS/EXPERIENCE/KNOWLEDGE:
Familiarity with Gitbook, Google Drive, and Slack is a plus.
Strong organizational skills and attention to detail.
Experience in documenting processes, workflows, or content management systems is a bonus.
Ability to work independently and manage multiple tasks.
Good communication skills for working with diverse teams.

Mission Statement
Greenstand is a U.S.-based 501(c)(3) nonprofit organization developing open-source technology to address climate change and alleviate poverty through digitizing environmental goods and services. We are made up of about 505 contributors across the globe. Our Treetracker app verifies and tracks individual trees, thus creating transparency in the reforestation sphere. Organizations and donors can locate individual trees and trade their ecological impact. By facilitating ownership of trees and their ecological services, Greenstand allows for tree-growing organizations to stay accountable.
Description
Greenstand develops mobile technology for better forestation techniques. Through our Treetracker app, rural smallholder farmers in some of the most remote communities on the planet are able to earn a sustainable income by planting, caring for, and tracking trees. Each tree grower takes a geotagged photo of their tree and uploads it to the Treetracker’s verification system, where Greenstanders verify that each photographed tree is alive and growing. Verified trees are digitized as Impact Tokens, which can be traded or sold among other Impact Wallet users within the Treetracker app.
Nasiyan was one of our first Treetracker. A single mother living with extreme visual and hearing impairments, she could barely afford to keep food on the table for herself and her three sons. However, since she began growing and tracking trees with Greenstand, her life has been looking up. Her young forest has become a small biodiversity hotspot, and with the income she has earned from tracking trees, she can now afford to send her boys to school.
