Have you ever thought about what you could learn from working with an organization that has been founded and established by someone who is actually in prison? As a trusted advisor, the Executive Administrative Assistant serves on the organization's Executive Committee as a point of contact between our incarcerated founder and staff directors and internal/external clients. This is a volunteer position with an option for competitive salary ($38,755-$48,473) upon securing funding.

WHAT YOU WILL DO:

  • Act as the point of contact between our incarcerated founder, staff directors, board members and internal/external clients

  • Undertake the task of receiving calls, taking messages, and routing correspondence

  • Manage requests and queries appropriately

  • Maintain meeting minutes, arrange meetings and appointments and provide reminders

  • Make travel arrangements

  • Take dictation and accurately enter data in designed records

  • Monitor office supplies and research advantageous deals or supplies

  • Produce reports, presentations, and briefs

  • Develop and carry out an efficient documentation and filing system

WHAT YOU NEED TO SUCCEED:

  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or other secretarial position

  • Full comprehension of office management systems and procedures

  • Excellent knowledge of Microsoft Office (Word, Excel, PowerPoint), Google Docs and Spreadsheets, Dropbox, and Asana

  • Exemplary planning and time management skills

  • Up-to-date with advancements in office gadgets and applications

  • Ability to multitask and prioritize daily work

  • Proficient in written and verbal communication

  • Discretion and confidentiality

The United Black Family Scholarship Foundation is a 501c3, nonprofit organization that operates in Oklahoma, California, and New York. Established in 2014, it is a student and volunteer ran organization that was founded by incarcerated activist and author Ivan Kilgore. Our Vision: We believe everyone has a right to education that empowers them with solutions to social and economic problems caused by poverty and racism.
