The ideal candidate is an outgoing, enthusiastic individual who would be responsible to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our team members,assisting in daily office needs, and managing our company’s general administrative activities.
InsightHeart Foundation is a new non-profit organization, founded in 2020 and has representatives in the following cities: Toronto, Scarborough, Sudbury,Ottawa, Winnipeg, Calgary, and Saskatchewan, still looking for a way to reach more community we focus on the below three product.
❏Helps kids/families in the low-income community with school backpacks.
❏Provide clothing to the homeless such as jackets, socks, Mitten boots,water bottles, etc during the summer and winter season.
❏Provide’s free transportation for seniors/ Cancer Patient medical appointments and grocery shopping
Our team is working from home/remotely due to COVID-19. Our work culture is dynamic, fun, and high-paced. We are expanding and looking for an eager individual to help create and record all the foundation expense virtually
1.Answer and direct phone calls 2.Organize and schedule appointments 3.Plan meetings and take detailed minutes 4.Write and distribute email, correspondence memos, letters, faxes, andforms 5.Assist in the preparation of regularly scheduled reports 6.Develop and maintain a filing system 7.Update and maintain office policies and procedures 8.Order office supplies and research new deals and suppliers 9.Maintain contact lists 10.Book travel arrangements 11.Submit and reconcile expense reports 12.Provide general support to visitors 13.Act as the point of contact for internal and external clients 14.Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
KNOWLEDGE/ SKILL REQUIREMENT Education: High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Experience: A minimum of 3 years experience as a website designer or related position.
Other: -Knowledge of office management systems and procedures -Working knowledge of office equipment, like printers and fax machines -Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) -Excellent time management skills and the ability to prioritize work -Attention to detail and problem-solving skills -Excellent written and verbal communication skills -Strong organizational skills with the ability to multi-task
