Job Summary

The GeekGirlCon Registration and Admission Manager manages all things related to ticket sales, including but not limited to online ticket sales, arranging and coordinating ticket sales at retail stores, maintaining attendee list and the registration process at the convention. This person is organized and detail-oriented with excellent customer service skills.

Responsibilities
  • Create online pass sales for annual convention; coordinate online announcements with web team and Marketing
  • Serve as main contact for online ticket sales vendors such as Groupon, ShowClix, and Event Brite.
  • Answers all registration questions submitted by convention attendees, ticket selling vendor (Showclix), or other staff.
  • Manages discounts and refunds when applicable
  • Set up and manage hotel block with Conference Direct.
  • Coordinate with Programming, Directors, and other departments to determine details of GeekGirlCon hotel rooms.
  • Books hotel rooms on behalf of GeekGirlCon.
  • Collaborates with Coordinator for retail pass sales and sales at various outreach events
  • Provides monthly reports to Executive Director and staff regarding ticket sales/hotel block and progress to meeting ticket sales/hotel block goals; bi-weekly sales for the 2-months prior to convention.
  • Coordinates with Programming, Sponsorships, Exhibitor Services and other departments on gratis pass needs for contributors, sponsors, staff, exhibitors and donated passes.
  • Provides lists of staff and panelist ticket purchases as needed.
  • Creates attendee lists before convention.
  • Coordinates and manages registration during the convention including supervising and training of volunteers working in the booth.
  • Works with Director of Convention Operations to set annual departmental sub-budget.
  • In collaboration with the Coordinator, assemble after-con ticket sales and attendance report, combining all methods of ticket sales, contributor passes, sponsor passes, and other gratis passes.
Required Qualifications
  • Two to three years of customer service experience
  • Proficient knowledge of Excel and Word
  • Must demonstrate knowledge of how to generate and maintain reports.
  • Excellent verbal communication skills
  • Previous supervision of staff or event volunteers
  • Commitment of two convention cycles as Registration Manager
Preferred Qualifications
  • Two years’ experience in hospitality, event planning, or convention management
  • Knowledge of online ticketing platforms
  • Previous supervision of staff or event volunteers
What It Means to Volunteer as GeekGirlCon Staff
  • GeekGirlCon staff positions are all volunteer, non-paid positions.
  • Attendance in-person or remotely for staff and departmental meetings is required.
  • Must maintain prompt and professional correspondence.
  • Most work is conducted over email and with in-person meetings in the Seattle area.
  • 5-7 hours per week is required for this role.
  • The staff is a team of highly dedicated, geeky, and passionate volunteers; it’s a lot of hard work, but an amazing experience with lots of opportunity to help build GeekGirlCon for the future!
