This person also maintains and enhances the organization's human resources by planning, implementing, and evaluating employee relations and human resources policies, programs, and practices. Reports To Executive Director or Board, in the absence of an Executive Director Positions Reporting to This One HR Assistant Responsibilities Maintains the work structure by updating job requirements and job descriptions for all positions. Maintains organization staff by establishing a recruiting and interviewing program; counseling managers on candidate selection; conducting and analyzing exit interviews; recommending changes. Prepares staff for assignments by establishing and conducting orientation and training programs. Ensures planning, monitoring, and appraisal of work results by training managers to coach staff members; hearing and resolving employee grievances; counseling staff and supervisors. Ensures legal compliance by monitoring and implementing applicable human resource federal and state requirements; conducting investigations; maintaining records. Maintains management guidelines by preparing, updating, and recommending human resource policies and procedures to the Executive Director. Maintains historical human resource records by designing a filing and retrieval system; keeping past and current records. Required Qualifications Outstanding interpersonal relationship building and employee coaching skills. Excellent organizational management skills. Strong verbal and written communication skills. Ability to manage multiple projects at once, set goals, and prioritize tasks. Must be proficient with Word, Excel, and Google Suite Preferred Qualifications Experience working in Human Resources a plus. Job Summary The Operations Director oversees the Operations department, managing the annual convention planning activities for GeekGirlCon, while keeping the organization in compliance with various federal, state and local regulations and ordinances for the convention. Reports To Executive Director Positions Reporting to This One Registration and Admission Manager, Data and Survey Manager, Exhibitor Services Manager, Volunteer Manager, Reaction Team Manager, Accessibility Manager Responsibilities Serve as part of GeekGirlCon’s executive team in making sure that day-to-day goals are being met and long-term plans/visions put in place by the Board are continued. Works with Operations Department managers to create an annual departmental budget. Review event bills for accuracy, and approve payment. Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, security and resolution of any problems that arise. Inspect facilities and provide 'walk through’ for staff and appropriate volunteers. Hire, train, and supervise volunteers and support staff required for annual convention. Coordinate services for annual convention, such as department facilities requirements, catering needs, general signage, displays, accommodation requirements, and event security. Review bids and quotes from service providers, negotiate contracts with service providers and suppliers such as hotels and convention center. Maintain records of event aspects, including financial details. Coordinate post-event evaluations to determine how future events could be improved. Acts as liaison between GeekGirlCon, convention venues, and AV contractors. Acts as liaison between GeekGirlCon and wi-fi access provider if necessary. Makes sure proper equipment and other items are in the right place. Makes sure floor plans are approved by convention venue. Creates and orchestrates move-in and move-out plans. Manages AV needs. Work with appropriate individuals to develop and monitor timelines and deadlines related to all aspects of events, ensuring the information is communicated with staff, volunteers, contractors and other constituents. Develop and monitor timelines/promotional schedule for events, working with communications staff to ensure adequate and proper promotion. Required Qualifications Excellent interpersonal skills and a collaborative management style. Maintains discretion and professionalism when dealing with sensitive and confidential information and/or material. Ability to respond to matters requiring urgent action and making decisions in alignment with severity, sensitivity, and GeekGirlCon values in response. Preferred Qualifications Must have excellent verbal and written communication skills. Strong organizational skills including records management, procurement, and budgeting. Ability to delegate and follow up. Proficient knowledge of Excel, Word, WordPress, Google Docs, Adobe Acrobat/Reader. Project Manager experience is preferred but not required. Job Summary The Tabletop Coordinator’s primary responsibility is to plan the programming for the GeekGirlCon tabletop room. This person will research tabletop games, companies, and designers. They will work to establish relationships with 3rd party game companies and put together a killer show-floor of game demonstrators and enthusiasts. Reports To Manager of Gaming Responsibilities Work with the Games team to develop tabletop room scope (demonstrations, Learn-to-Plays, tournaments, etc) Research, contact and develop relationships with tabletop companies and individuals who could have a presence at GeekGirlCon Regularly update the Gaming Team with progress made - both in person and via Gaming Team documentation Be the main point of contact for table hosts, demonstrators, vendors, etc in the table top room Required Qualifications Great communicator with extraordinary people skills Professional disposition Deep knowledge and passion for tabletop games and companies A self-starter who requires little supervision Passionate team member What It Means to Volunteer as GeekGirlCon Staff GeekGirlCon staff positions are all volunteer, non-paid positions. Department Convention Operations Reports To Director of Convention Operations Positions Reporting To This One Exhibitor Services Coordinator Job Summary GeekGirlCon’s Exhibitor Services Manager maintains and establishes new contacts with different vendors and exhibitors. The Exhibitor Services Manager needs to be self motivated, high spirited, have great verbal and written communication skills, and proficient knowledge of Excel to maintain specific reports. Responsibilities Determines how many and what types of Exhibitor and Sponsorship tables we can support, while making sure all exhibitors are a good match for our mission statement. Works with the Executive Director and/or marketing where necessary to screen vendors. Screen and approve Exhibitor applications. Provides monthly reports to Director of Con Ops regarding Exhibitor Applications review, Contracts and Payment progress. Collaborate with Exhibitor Services Coordinator on GeekGirlConnections Coordinate with Registration and Admissions Manager on the number of Exhibitor Passes needed. Responds to all exhibitor requests/questions in a timely manner. Creates booth layout/map for Exhibitor Hall and calculates the maximum occupancy of the room. Coordinates with Director of Con Ops to ensure layout meets requirements of WSCC and Triumph. Maintains Exhibitor Contact spreadsheet, which includes the number of passes, tables, and vendor information for each vendor/exhibitor/artist alley. Tracks all contracts sent out and/or received. Follows up with interested exhibitors with outstanding contracts to determine status of contract and payment as tables start to fill up. Maintains a waiting list after tables have filled. Informs final exhibitors about table placement, booth amenities/restrictions, verifies pass count, and communicates day of convention detail (setup times, breakdown times, etc.) through email. Coordinates exhibitor signage, exhibitor maps and table placement with Design Team under the Design Team’s deadline. Coordinate with web team to update GeekGirlCon website with convention exhibitor information as vendors are confirmed. Works with Director of Operations to set annual departmental sub-budget. During the convention: Supervises Exhibitor Hall. Makes sure tables have been properly set up by venue and immediately handles any issues that arise. Sets up vendor signage. Checks in vendors. This includes handing out vendor packets and badges and taking payment for additional vendor badges. Keeps records of number of passes sold and provides counts to the Registration and Admission Manager. Prepares deposit log for Accounting. Supervises and trains volunteers working in the vendor room. Provide guidance for vendors during load-in and load-out. Required Qualifications Must have excellent verbal and written communication skills. Must have strong critical thinking and communication skills. Strong negotiation, mediation, and conflict resolution skills. Proficient at Excel. Exceptional customer service skills. Ability to do job duties with minimal direct supervision. Preferred Qualifications Comfort with dealing with a variety of personality types Retail experience - having familiarity with vendor experience would be good What It Means to Volunteer as GeekGirlCon Staff Minimum commitment to this volunteer position of at least two convention cycles. Job Summary The Manager of Design is responsible for developing and implementing the GeekGirlCon visual branding, as well as translating marketing objectives into creative strategies, designs, and plans. They are also responsible for overseeing the Design Team, assigning and managing tasks, and conducting Design Team meetings. Reports to Director of Marketing. Responsibilities Develops and continues to evolve GeekGirlCon’s brand and branding guidelines. Establishes efficient and effective production processes, including development of a strong visual branding guide; manages the team to meet deadlines; responds to GeekGirlCon needs/opportunities; and delivers consistently high quality work. Responsible for the accuracy, timeliness, and quality of work produced by the GeekGirlCon Design Team before it is sent off to other departments and/or the printers. Develops integrated creative concepts across all mediums - digital, print, and merchandise. Also responsible for creating internal and external branded print and making sure digital collateral matches visual branding styles. Responsible for guiding and motivating other Design Team staff. Conducts team training on new business Conducts yearly reviews of Design staff. Responsible for interviewing and hiring additional Design Team staff as needed Must be able to discern actual ask / assignment from creative brief and be able to break it down into digestible parts for rest of team Develop campaigns for social media and print Work with the Merch Manager to develop merch designs for the Con (and get them produced) Required Qualifications Working knowledge of composition, layout, and principles of design. Formal training in Graphic Design preferred. Ability to work with type Proficiency in Adobe Creative Suite, specifically InDesign, Illustrator, and Photoshop. Be familiar with the Google suite of products as well as Dropbox and Paper. Be highly organized, multi-task, and communicate between staff (and review creative work) to meet deadlines. 4-6 years in Design-related field required. Prior team management experience preferred. Must be able to work autonomously and remotely Time requirements 5-10 hours / week avg, but in the three months leading up to the con, can go as high as 20 hours / week. Needed onsite for load-in day (the Friday before the con). Preferred Qualifications Able to get around in the Google suite of product as well as Basecamp. Awareness of current trends and activities in design and geek culture. Working knowledge and experience working with our diverse communities, empowerment, diversity and inclusion.
