Job Description
The Office Lead will report directly to the City Director and will work collaboratively with all of The Cupcake Girls departments. Specifically, this Lead is responsible for maintaining office order and cleanliness, ordering supplies, handling mail, filing, and all other office-specific tasks.
Principal Responsibilities- Check, sort, and distribute mail.
- Inventory, order, and stock all office supplies and needs.
- Schedule Wednesday Open Office hours and invite volunteers via Podio.
- Keep the office clean and tidy at all times. Create a cleaning schedule for the office and assign volunteers for cleaning shifts each quarter.
- Ensure copies of all forms are ready for use, such as volunteer and staff agreements, event sign-in sheets, and other forms as necessary.
- Complete all filing and administrative tasks as needed.
- Ensure at least one office team member is at Open Office Hours each week
- Assist managers and other Leads with administrative tasks as needed.
- Take notes at Lead meetings and send to City Director.
- Connect with new volunteers for coffee within a week of them joining the team.
- Fill out weekly Lead Check-in form.
- Lead Fundraising team.
- Commit to 5 hours per week of concentrated work in your role.
- Log office hours and track team office hours in Podio.
- Attend scheduled Lead meetings.
- Connect biweekly with the Office Lead in your sister city.
