Administrative Assistants

A Free Bird is a 501(C)(3) non-profit organization based in New York City. Our organization provides children diagnosed with cancer the opportunity to explore their artistic passions. Artistic expression has been proven to play an instrumental role in the healing process. We support children affected by cancer in their exploration of a range of self expression such as art, music, acting, poetry, writing, singing and other creative mediums.

JOB SUMMARY:

Administrative Assistants play a crucial role in supporting professionals by overseeing routine and advanced duties, ensuring smooth operations within the organization. Collaborating closely with administrators and team members to manage calendars, organize files, and prepare various documents. Administrative Assistants also facilitate meetings, compose correspondence, and handle daily office tasks to maintain efficiency. With exceptional organizational skills and attention to detail, they contribute to the overall success of the team by providing administrative support and ensuring seamless office operations.

Responsibilities

  • Serve as liaison between the President and department managers to ensure mutual understanding of objectives, tasks, and goals
  • Proactively communicate with each department and monitor all operations
  • Act as the point of contact for internal and external clients
  • Read and analyze incoming memos, letters, and reports to determine their significance and distribute appropriately.
  • Write and distribute email, correspondence memos, letters, and forms.
  • Update calendars, agendas, and supporting documents on a daily basis
  • Organize, store, and manage key files for the organization
  • Coordinate and participate in department meetings and follow up on action items

Qualifications

  • Proficiency in Microsoft Office Suite (MS Excel and MS PowerPoint, in particular) and Google Drive applications Suite
  • Knowledge of administrative and clerical procedures and systems such as word processing, e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level
  • Ability to adjust to changing work conditions and effectively multitask
  • Excellent verbal and written communication skills
  • Multitasking and organizational skills with attention to details
  • Ability to plan, organize and meet strict timelines

*Internships are unpaid and for credit only. If you are not receiving college credit for this internship you will not be eligible.

Additional Information

This position requires a three month commitment and at least 5 - 10 hours per week.*

*Mandatory commitment is based on position level.

Due to COVID-19, we are 100% remote.

Proper at home working capabilities include laptop, phone, and connection to reliable internet connectivity. Must be available to have a phone / video conversation at least twice per week.
