OVERVIEW:
The volunteer bookkeeper is responsible for maintaining accurate records of consignment items, including entering new inventory, tracking sales, calculating commissions, and coordinating commission payments with the finance department.

DUTIES & ACTIVITIES:
● Maintain individual spreadsheets for each consignor containing their name and number.
● Record new items brought in by consignors on the New Intake Form, including descriptions, prices, and assigning invoice numbers.
● Price each item individually and attach price tags.
● Organize consignor spreadsheets into sections: SOLD, FOR SALE, and PICKED UP.
● Enter new items into Excel sheet, including date, invoice number, description, and cost.
● Create a daily Transaction Sheet to track sales, keeping one copy in the shop binder and providing a second copy to the bookkeeper along with price tags of items sold.
● Update consignor spreadsheets by moving sold items from FOR SALE to SOLD section and calculating a 70% commission for each item.
● Prepare monthly commission checks for consignors who have sold over $10.00 worth of items, totaling sales and commission amounts and generating invoices for the finance department.
● Keep records of invoices for reference in the gift shop.
● Periodically, every 6 months, identify items in the shop for at least 6 months, create Pickup Forms, and notify consignors for item retrieval.
● Upon retrieval, update consignor spreadsheets by moving items from FOR SALE to PICKED UP section and record the date of pickup.

QUALIFICATIONS & SKILLS:
● Proficiency in Microsoft Excel for data entry and spreadsheet management.
● Strong organizational skills to maintain accurate records of consignment items and transactions.
● Attention to detail to ensure correct pricing and commission calculations.
● Excellent communication skills for working alongside consignors, gift shop volunteers, and the Finance Manager.
● Ability to work independently and efficiently in a fast-paced environment.
● Reliable and punctual attendance for scheduled shifts and monthly tasks.
● Prior experience in bookkeeping or similar administrative roles preferred.
● Commitment to CFPA’s mission and values, including promoting diversity, equality, and inclusion
