Budget and Finance Director

Job Summary

Under the supervision of the Treasurer, provides for the day to day financial management of the organization and ensures the data integrity of the financial management system.

  • Accounts Receivable - Handles invoicing, coding, collection and reconciliation of monies owed to agency.
  • Grants Receivable - Handles monthly billings, coding, payments and reconciliation of grant records for multiple funding sources, monitoring grants budgets.
  • Bookkeeping - Works with staff to maintain "process integrity" related to daily cash deposits, codes revenue and expenses into accounting system, handles month end close to include general journal entries, payroll reconciliation spreadsheet, bank reconciliation, fundraising database reconciliation, balance sheet reconciliation including pre-paid accounts and schedules, and external reporting reconciliation.
  • Cash Flow - Monitors cash inflow and outflow daily to anticipate routine cash needs.
  • Budget - Assists the Treasurer in developing the annual budget, renewals and amendments as needed.
  • Financial reporting - Generates financial and grant reports for use by Executive Director, Treasurer, as well as management and outside agencies..
  • Audit preparation - Coordinates and prepares fiscal and personnel documentation for grantors and annual audits.
  • End of year duties - Tax reporting, organizational reporting (annual 990 coordination), end of year close out work including depreciation, inventory/fixed asset management, annual accrual entries.
  • Administrative - Ensures fiscal and personnel records are complete, current and accurate, maintains vendor contracts, leasing agreements, etc.
  • Insurance - Maintains necessary insurance records, ensures certificates of insurance are issued to funding organizations.
  • Other duties as required.
  • Policies and procedures - Assists the team on systemic improvements, internal controls, documentation and forms development;
  • Development - Assists Treasurer with budgeting and reporting needs for new funding sources as required.
  • Participates in required training

Minimum Education and Training Requirements

  • Bachelor’s degree in accounting/finance
  • Minimum of 3 years of accounting/finance experience at a finance manager level preferably in a non-profit organization.
  • Experience with QuickBooks for Non-Profits Sage MIP, or similar non-profit fund accounting software strongly recommended.
  • Microsoft Office products and spreadsheet design required.
  • Experience with wave expense system also a plus.

Desirable Requirements

  • Prior experience in a non-profit organization with state and federal funds grants management.
  • Strong analytical and math skills.
  • Solid knowledge of office practice and equipment.
  • Excellent time management and organizational skills.
  • Excellent communications skills.
  • Ability to handle multiple tasks at one time.
