Job Description

The Volunteer Care Manager will implement processes for recruiting and managing the volunteer workforce of The Cupcake Girls within his/her city, and will report to the City Director. The Volunteer Care Manager will oversee all aspects of the volunteer process, and lead the Volunteer Care Specialist and team members. The Volunteer Manager is an integral part of the staff and will work with inter-dependently with fellow managers, helping the day-to-day operations of The Cupcake Girls run effectively and efficiently.

Principal Responsibilities

  1. Research and implement strategies to recruit new volunteers.

  2. Ensure that all prospective volunteers are being contacted and kept informed about the

    current application process. Follow up on interested applicants frequently.

  3. Schedule orientations and provide a clear and concise overview of volunteer opportunities

    to all applicants.

  4. Confirm that any copies needed for orientation have been prepared and that all

    technology is working (PowerPoint presentation, etc.). Inform the Office Assistant about materials that should be ordered for trainings. Collaborate with the Hospitality Specialist to have food at the orientation.

  5. Send and track invitations for volunteer events and trainings.

  6. Implement all volunteer processes to maintain efficiency, keeping up-to-date on the latest

    policies and practices.

  7. Create and maintain a volunteer database, files, and other relevant volunteer information.

  8. Work closely with the Volunteer Specialist to ensure volunteers are appreciated - i.e. thank

    you notes, acknowledgement of birthdays, anniversaries, etc.

  9. Coordinate with the Special Events Manager to schedule and supervise volunteers at all

    Cupcake Girls events. Also coordinate for volunteer gifts.

  10. Add statistics into the marketing dashboard spreadsheet monthly.

  11. Send expense reports to the City Director for accountability. Oversee your team

    reimbursements and forward them to the finance controller once approved.

  12. Commit to 25 hours per week of concentrated work in your role.

  13. Return all emails and phone calls within 24 hours.

  14. Recruit members for the Volunteer Care team and oversee those roles if there is no

    specialist.

  15. Train, develop, maintain, affirm, support and supervise all Volunteer Care team members.

  16. Fill out the weekly 15five report and oversee specialists’ weekly reports, providing and

    receiving team feedback.

  17. Attend every Cupcake Girls event. Attend weekly staff meetings, mandatory monthly

    specialists’ meetings, annual strategy weekend and speci alist retreat, and quarterly team

    building events.

  18. Hold an annual performance review and recommitment of role for the Volunteer Care

Specialist.
