Annually around Christmas time, we host a Toy and Coat Giveaway Event. This is our 11th Annual Toy & Coat Giveaway Event. Our partnered companies and agencies will be helping us by donating toys and coats and food. Join our Project Coordination Short Volunteer Project as a Project Coordinator Volunteer for production and event planning of our Annual 11th Christmas Toy and Coat Giveaway Event this December! This HYBRID volunteer role emphasizes meticulous planning, timely procurement of equipment and supplies, and adept management of both vendor and guest relationships. Entrusted with the critical task of ensuring the seamless execution of projects, the Project Coordinator Volunteer shoulders the responsibility of translating envisioned events into tangible experiences. Their involvement spans the project's lifecycle, from initial brainstorming to post-event reviews, making them integral to the event's success. Combining a strategic outlook with hands-on execution, this volunteer role is perfect for those passionate about bringing events to life and ensuring an exceptional experience for all involved parties. Project Coordinator Volunteer project scopes: Project Planning & Execution: Develop detailed event plans including timelines, vendor lists, equipment needs, and guest lists. Ensure timely and efficient execution of the project from inception to completion. Monitor the progress of the event, addressing potential issues or delays. Equipment & Supplies Procurement: Identify the equipment and supplies necessary for the successful execution of the event. Coordinate procurement activities, ensuring timely delivery and setup. Monitor equipment usage and manage returns or post-event disposals. Vendor Management: Identify, evaluate, and select vendors based on event needs. Negotiate contracts, prices, and services with vendors. Monitor vendor performance and address any concerns or issues promptly. Foster strong, lasting relationships with vendors for future collaboration. Guest Relationship Management: Serve as the primary point of contact for all event guests, addressing inquiries, concerns, or special requests. Manage guest list, RSVPs, and any related logistics. Ensure that guests have a seamless and enjoyable experience during the event. Qualifications: Previous experiences in event planning, production, or a related field is a must Exceptional organizational and multitasking skills. Strong interpersonal skills and the ability to work with diverse groups. Proficient in Google Suite, and have great research skills Strong negotiation skills. Program and Production Volunteer project scopes: Program Management: Collaborate with event planners to understand and design the program flow for the event. Stage Production Assistance: Support the stage production team in setting up for performances. This HYBRID volunteer role ensures the flawless execution of our stage performances. From the early moments of setting the stage to assisting in the coordination during the performance and ensuring everything is returned to its rightful place afterward, their role is multifaceted. Their involvement is crucial in providing both performers and audiences with an immersive and uninterrupted experience. Through diligent setup, real-time assistance, and post-performance cleanup, the Stage Production Volunteer helps transform our vision into a tangible reality, ensuring that every performance is a testament to our commitment to excellence in the world of theater and stagecraft. Stage Production Volunteer project scopes: Stage Setup: Collaborate with the production team to understand the specific requirements for each performance. Set up props, backdrops, lighting, sound equipment, and other necessary stage elements before the performance. Ensure that all equipment and props are in working order and positioned correctly. Performance Coordination Assistance: Act as a liaison between backstage crew and performers, ensuring smooth transitions and cue execution during the performance. Assist in last-minute stage or equipment adjustments during the performance as needed. Event Management Volunteer project scopes: Budget, Sponsorship and Fundraising : Create and manage a detailed budget that covers expenses related to toys, coats, venue, refreshments, marketing, and any other event-related costs. Seek sponsorships from local businesses or organizations. Implement fundraising efforts to cover event costs and potentially raise funds for the organization. Volunteer Recruitment & Participant Management: Recruit and manage volunteers for various event tasks, such as registration, gift distribution, coat sizing, and cleanup. Set up a registration system for participants, which can include online registration and on-site check-in.
