Event Assistant Volunteer GiGi’s NYC Overview: GiGi’s Playhouse NYC is the only organization in New York City solely dedicated to the development of individuals with Down syndrome of all ages, from birth through adulthood and at every phase of life. We provide therapeutic, educational, social, and creative arts programs and events year-round, at no cost to participants or their families. GiGi’s NYC serves over 1,000 people with Down syndrome and their families, representing almost 10% of the NYC Down syndrome population of approximately 11,000. For more information, please visit our website at www.gigisplayhouse.org/newyork. GiGi’s NYC is looking for a seasoned event assistant with evidence of success managing large scale events/projects. The candidate should have demonstrated experience managing up with executive leadership. Responsibilities include: Defining resource requirements and managing resource availability & allocation - both internal and third party. Outlining a budget based on requirements and tracking costs to deliver the project on budget. Schedule key project milestones with dates (forecast and actual), work streams & activities. Tracking the project and providing weekly reports on project status. Managing and adjusting for any changes in project scope, schedule and / or budget. Identifying and mitigating any potential risks. Managing the relationship and communication with the Gala Chair and committee members, ensuring the project is delivered to their satisfaction. Assist with OneCause platform. Job Details: Must be proficient in Microsoft Office and G-Suite, knowledge of SharePoint. Comfortable learning new platforms. Commit to Event Assistant role for at least one year. Organized, effective communicator, flexible. Volunteer 5-10 hours per week, with some weeks requiring more hours as event approaches. This position will be mostly virtual with the expectation that the Event Assistant be on-site on event days or as needed. Job Summary Location: Hybrid (onsite a few hours a week, remaining hours can be performed remotely). The Playhouse is located at 106 W. 117 th Street, New York, NY 10026. Hours: 6-8 hours per week Major Responsibilities Include: Represent GiGi’s NYC at volunteer recruitment events within the community and online. Respond to volunteer inquiries and questions via phone and email in a timely and professional manner. Oversee the Volunteer email address. Host volunteer orientations, a minimum of once per month. Send email/phone reminders to attendees 5-7 days prior to orientation. Perform follow up after orientation. Update volunteer orientation PPT presentation as needed, in conjunction with Programs Coordinator and Operations Manager. Conduct one-on-one volunteer orientation sessions for volunteers who are not able to attend the monthly session. Provide training on e-check-in system., SmartLinks etc. Responsible for scheduling volunteers into volunteer roles in conjunction with Programs Coordinator/Operations Manager. Ensure all volunteers observe at least two programs prior to confirming role. Inform Program Leaders/Assistants when a new volunteer has been placed. Maintain volunteer information in GiGi’s NYC database, including consents, background check status, training status etc. Provide on-going volunteer training as needed. Maintain open communication with Programs Coordinator, volunteers, and Operations Manager to ensure volunteer needs are covered and successful programs and events are delivered. Coordinate volunteer appreciation events one-two times per year. Coordinate with the Operations Manager for social media, website and blog entries relating to volunteer impact, recognition, and stories. Reports to Programs Coordinator and Operations Manager. Qualifications: Experience with volunteer recruitment and management Strong writing skills Strong interpersonal skills a must Strong organizational and time management skills Ability to work collaboratively and professionally with volunteers, staff, and Board Must commit a minimum of 1 year General Requirements All staff and volunteers are expected to be committed to the mission and values of GiGi’s NYC, communicate authentic sensitivity to and an understanding of the Down syndrome community, have a positive attitude, and possess a willingness and ability to thrive within a unique work environment.
