Job Description: Executive Assistant to the Executive Director I Will Survive, Inc.( IWS) is looking for an experienced problem-solver to join our Leadership Team as the Executive Assistant to the Executive Director (ED). The Executive Assistant (EA) will provide high-level administrative support to the board and ED by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings. To do this role properly the candidate should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past. Candidates must possess excellent verbal and written communication skills, a professional and resourceful demeanor, the ability to work both independently and as a team player, and a desire to take initiative and manage numerous projects simultaneously. This position is based out of the IWS headquarters and in Doraville, GA and reports directly to the Executive Director. The service commitment preferred is no less than 2 years. Qualifications Proven experience as an executive assistant or other relevant administrative support experience. In-depth understanding of entire MS Office suite. High school diploma required; associate’s degree preferred Ability to organize a daily workload by priorities. Must be able to meet deadlines in a fast-paced quickly changing environment. A proactive approach to problem-solving with strong decision-making skills. Professional level verbal and written communications skills. Primary Responsibilities Preparing financial statements, reports, memos, invoices letters, and other documents. Answering phones and routing calls to the correct person or taking messages. Handling basic bookkeeping tasks. Filing and retrieving corporate records, documents, and reports. Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives. Helping prepare for meetings. Accurately recording minutes from meetings. Greeting visitors and deciding if they should be able to meet with executives. Using various software, including word processing, spreadsheets, databases, and presentation software. Reading and analyzing incoming memos, submissions, and distributing them as needed. Making travel arrangements for executives. Performing office duties that include ordering supplies and managing a records database. Experience as a virtual assistant. Opening, sorting and distributing incoming faxes, emails, and other correspondence. Provide general administrative support.

Qualifications Desired Bachelor’s Degree Demonstrated experience in obtaining grants for non-profits, charities, and other philanthropic organizations Excellent verbal and written communication skills required Ability to manage rejection and overcome common proposal objections Strong interpersonal and presentation skills required Experience with sourcing opportunities, cold-calling, contact development, and business relationship management Detail-oriented, adaptable, organized and demonstrated ability to successfully manage multiple projects and tasks Excellent computer skills including Microsoft Office, email marketing, and CRM tools Duties & Responsibilities Research and identify grant opportunities based on program needs, funding amounts needed, and organization directives Communicate with foundations, if needed, to confirm eligibility for grant application Identify all grant requirements to ensure all necessary attachments are submitted on time Successfully understand and communicate the mission and vision of IWS when applying for the grant Track and create a calendar of grant opportunities - including deadline dates, required materials, etc Complete and submit grant applications to secure funding Work with grant writing team
