Caritas of Austin Events Coordinator Intern 2023 to 2024 Description: Reporting to the Events Coordinator, the Events intern will perform a range of administrative and donor support functions to facilitate operation of Caritas of Austin’s fundraising events, including Songs of Hope and Thundercloud Subs Turkey Trot. The Events Intern will directly contribute to increasing Caritas of Austin’s capacity to serve more individuals and families in need. Time Commitment:18-25 hours per week for one full semester (Intern). The Event Intern will: Assist the Event Coordinator in the coordination and execution of Songs of Hope and Thundercloud Subs Turkey Trot in addition to smaller Caritas of Austin events. For Songs of Hope, the Event Intern will: Gain experience on how to successfully manage and plan a large-scale fundraising event/concert. Coordinate entertainment, vendor, venue, and other event-specific communication through emails, phone calls, and on-site visits. Support the Songs of Hope Silent Auction by researching in-kind prospects, performing strategic solicitations, and assisting with pickup of physical items. Make thank you calls and support Event Sponsor stewardship by coordinating and attending sponsor meetings and communication. Help facilitate the Songs of Hope 2024 Events Committee by editing Committee documents, prepping for monthly meetings, and engaging in general supporter stewardship. Assist with projects in the areas of events marketing, grants development, and general development activities as needed. Other duties as assigned. For Turkey Trot, the Event Intern will: Aid in Turkey Trot volunteer coordination and communication through emails, phone calls, and RunSignup. Assist at Packet Pick-up volunteering sessions and/or day-of event Other duties as assigned. General Event Duties Provide a variety of administrative support tasks, such as but not limited to: vendor research, attendee list coordination, and OneCause data entry. Event Software includes OneCause, Raiser’s Edge, RunSignup, and Microsoft Office programs. Knowledge/Skills/Abilities Maintain a professional demeanor. Maintain appropriate professional and personal boundaries. Excellent organizational skills Detail oriented and committed to meeting deadlines. Good interpersonal skills Ability to problem-solve. Solution-oriented and a creative mindset Knowledge of Microsoft Office programs, including Word and Excel Maintain client, donor, and staff confidentiality. To transport general event planning items, the volunteer must have: Transportation expenses incurred by interns and volunteers are considered in-kind donations. Reliable transportation Be at least 21 years of age. The ability to lift up to 20lbs if asked to assist. Current State of Texas Driver’s license Proof of up-to-date car insurance Pre-Screening and Training Pre-screening interview Criminal Background check Required Training Classes include completion of the following: Caritas 101: Understanding volunteering at Caritas. Reporting to the Development Leadership, the Development intern will perform a range of administrative and donor support functions to facilitate operation of the Development department. The Development Intern will directly contribute to increasing Caritas of Austin’s capacity to serve more individuals and families in need. Time Commitment: 18-25 hours per week for one full semester (Intern). Duties & Responsibilities * Provide as needed support to all areas of the Development Team (grants, communications, events and general development * Provide administrative support, such as data entry and document editing * Make thank you calls and support donor stewardship * Administrative and logistical support for appeal mailings and stewardship touches * Other duties as assigned.
