They’ll also keep up with directors’ contact information to inform them about upcoming meetings. Another primary responsibility is to monitor the organization’s activities to make sure the actions of the organization follow the bylaws. Duties: Record and distribute board meeting minutes: The International Transformation Foundation board meeting minutes record the board’s actions and decisions. They inform absent attendees what they missed, and these minutes serve as a legal record. The board secretary’s core duty is documenting meetings fully and accurately. Ideally, this individual should memorialize key information such as the board’s actions, the rationale behind decisions, elections of new officers, and reports. After the fact, the board secretary is responsible for promptly proofreading the minutes, getting them approved by the board chair, and distributing them. Maintain accurate records : As the custodian of International Transformation’s records, the board secretary ensures that all critical documents are organized, safely stored, and readily accessible to other board members and volunteers. Therefore, the Secretary should be an expert on policies and procedures based on these documents, including any key governing and operating processes that the board has approved. Further, the secretary is responsible for reviewing and updating documents as necessary. If complications arise, the board secretary should be prepared to call attention to the policies and procedures to ensure that the board remains ethical and compliant. Schedule regular board meetings: The Board secretary is responsible for lining up meetings with board members and ensuring that most people can attend. This includes distributing the necessary materials that attendees should review prior to the meeting, based on the agenda that the board chair and president creates. Oversee membership lists : the board secretary maintains membership lists. Ensure contact information is up to date : the board secretary always has up-to-date contact information for every board and volunteer staff member on file, including preferred contact method for reference. Hold members accountable : As part of the board’s leadership team, the board secretary is responsible for following up with board members to ensure they’re fulfilling their duties. Track board member terms: board secretary keeps a running tab of board classes to ensure the successful rotation of board members at the end of their designated terms. As new members are onboard, the secretary notes their terms’ start and end dates. As each board member completes their term, the secretary reaches out with a reminder that acknowledges the end of their term limit and thanks to them for their service. Orient New Board Members: To ensure a successful transition to a new board member including secretary, the board secretary helps their successor get up and running. This means showing them the ropes by sharing sufficient documentation and giving tips for success. The board secretary also assists in new board members onboarding alongside the board chair, helps develop a thorough and engaging orientation. Qualification: This position has a wide range of duties, and it requires detail-oriented, communicative, and motivated individuals. The International Transformation Foundation Inc.’s board secretary must be extremely driven and detail oriented. At Least bachelor's degree in related fields preferred. Minimum of 3 years years of experience in a related role required with some supervisory experience preferred. Our main mission is setting up water kiosks at schools and public drinking water fountains in communities across Kenya and Rwanda. We also offer personalized fundraising focused trips for individuals and organizations to be a part of the implementation of these water kiosks and drinking water fountains Project coordinator This is a short term, outreach and engagement position inviting anyone in the United States to be part of our mission. The role is to fundraise for a specific project (A water Kiosk at school or public drinking water Fountain) in the country where we operate in Africa. When the fundraising campaign is successful, get to travel to the project location/community to be part of the project implementation. During the trip, the participant (s) are expected to provide project administrative support alongside our volunteer staff members at the local ITF office and have an option to contribute unskilled and skilled labor alongside projects benefiting community members. The main duty is to develop and implement a project work plan that includes: Fundraising Planning, implementing, and coordinating events/activities/strategies meant to raise direct project implementation funding. Creating marketing materials, like flyers and brochures, to be used for the promotion of fundraising events/activities and project implementation. Build upon existing donor relationships and form new donor and community relationships on a regular basis. Project administration and implementation Plan and coordinate project implementation activities. Prepare project documentation including progress, completion, and monitoring reports. Qualifications: Prior experience is preferred, but not required. Communications Director: Your role is to tell the International Transformation Foundation, Inc’s story to the outside world, shaping the narrative about the organization’s work and helping create a positive public perception. This is an essential function because it increases the likelihood that people/organizations will partner with ITF, that volunteers will join the organization, and that members of the public will make use of its projects. Creating content: You are required to write original content that portrays ITF in the best possible light. This requires you to: Compile and keep a record of ITF communications with external stakeholders. Work alongside other teams within ITF to create written content, as well as videos and pictures that are not only attractive but supported by evidence. Publishing Content: Once you have created your content, you are responsible for publishing and distributing it in in order to maintain a vibrant online presence for ITF. While you are encouraged to think creatively in this space, you are expected, at a minimum, to: Post regularly on ITF’s official social media platforms. Design and manage ITF website content, including success stories, testimonials, and picture archives. Ensure that the information you disseminate is compliant with privacy guidelines. The three main responsibilities of the Vice President of Operations are human resource, project design and ground level management as a direct assistant to the President. Primary responsibilities: As an assistant to the President who is responsible for the big questions facing ITF, you are also required to ensure its effective operation on a day-to-day level. Most importantly, this means you must: Ensure ITF maintains appropriate systems to conduct its activities lawfully, ethically, and efficiently. Ensure ITF is appropriately staffed so that someone is always directly accountable for each of the organization’s key functions. Ensure there are clear and effective communication channels, both formal and informal, between the office of the President and each key Officer function. Guide and evaluate the work of each Officer function. Provide leadership in setting a positive and productive organizational culture. You are responsible for identifying and developing projects that fall within ITF’s scope. While that is your primary responsibility, you are also expected to support projects during execution, monitoring, reporting, and closing. Identify youth development problems that ITF is equipped to address and interested in solving. Conduct feasibility and planning studies to determine how ITF could address the problem, and whether this is realistic. Additionally, you are responsible for recruiting the best people to ITF and for the development of ITF’s people, both during their orientation and their progression at ITF. This means you will: Advertise positions that become available through ITF’s networks; receive applications, screen them for suitability, and transfer them to the President, hence organize interview times and locations for shortlisted candidates. Organize weekly and monthly meetings to discuss workflows and progress. Organize quarterly training sessions on organizational culture, where all staff can discuss how ITF could build a more positive and productive working environment. Ensure all staff members develop a personal performance plan to be discussed at performance meetings with the President every 3 months. Constantly work to improve orientation and induction materials and constantly reflect on how you could perform your role better. Person Specifications: Applicants must be under 30 years old. Hold at least a bachelor’s degree in related fields. Good organizational skills, including ability to work within tight deadlines. Detail-oriented with a focus on results. Should be self-driven and proactive. Have excellent communication skills orally and in writing, excellent interpersonal and presentation skills, and the ability to work with diverse individuals or groups of individuals. Ability to maintain an established work schedule. Have basic computer skills including graphic communication publications. Understanding of and commitment to equal opportunities.
