JOB IDENTIFICATION Updated: April, 2022 Job Title: Pierz Courier Service Volunteer Supervisor: Volunteer Coordinator Hours: Monday- Friday 3:45pm-4:45pm; 1 hour commitment Position Description: This person will serve as a volunteer driver who will deliver and/or pick up supplies, prescriptions as needed from Family Medical Center to the Pierz Clinic. Volunteer will hold a valid driver’s license type "C". Primary tasks: Start at Family Medical Center and get the bag of supplies anywhere from 2-3 p.m. depending upon the day. (Supplies are found right around the corner of the FMC in the first office in back of the reception desk) Travel to Pierz Clinic- Go in building & drop off a bag for the nurses. Wait for a few minutes in the lobby until nursing staff give to you a "return bag". Return supplies back to Family Medical Center to the front reception desk staff. Always "hand deliver" the bag/bin to a staff person and let them know these are the return supplies from the Pierz Clinic. Why? Live specimens need to be refrigerated or worked with immediately. Complete mileage and expense forms for proper reimbursement as well as to turn in insurance and license renewals to the Volunteer Coordinator. To notify volunteer department in the event of any accident or personal injury. Performance Requirements: KNOWLEDGE AND SKILL: Volunteer must exercise confidentiality. Volunteer must be able to read and follow directions. Must be dependable. Above all, must have good driving record and law-abiding standards as well as pass physical tests for driver’s type "C" license. PHYSICAL DEMANDS: Must have good physical health. Non-performance Requirements: Supervised by and responsible to Volunteer Department. Volunteer hours to be recorded. All papers must be sent in, (insurance, etc.) yearly, renewable valid driver’s license. Additional Information: If the volunteer is involved in an accident while driving for St. Gabriel’s Health, health insurance coverage is provided to the volunteer. If you should have an accident while out providing a service for the healthcare campus and you become hurt, as you already know, you need to let our office know immediately so health insurance coverage can be provided for you. The gas mileage reimbursement is determined by IRS standards.

JOB IDENTIFICATION Job Title: Same Day Services Liaison Volunteer Department: Volunteer Services Supervisor: Nursing Service- Same Day Services Manager Hours: Monday-Friday 6:30am-10:30am POSITION DESCRIPTION Assists as a liaison person between the Operating Room Personnel and the family of the person undergoing surgery. Volunteers will communicate to the families’ any necessary information. MAJOR FUNCTIONS To serve as liaison between operating staff and families and communicate information as needed such as outlined above. Call to the nurse’s station at #5200 when the patient has arrived. Have the patients wait near you or be seated in waiting area #1 while you call for help at the nurses’ station (Surgery roster will be given to you by staff. Please keep the surgery roster face down or in a folder for privacy.) Also, return the surgery roster to the nurse’s station when all shifts are completed for proper disposal of confidential information. To keep track of who visitors and family members are, perhaps recording notes on surgery roster. One could use the SDS Waiting Room Family Log if desired. Make note if the visitor/family member leaves the waiting area, where they are going and when they expect to return. This enables better communication between the Doctor(s) and family/visitors. To reassure and encourage families and/or ease family/visitor tension and help them to pass the time by engaging in conversation, offering reading materials, etc. If privacy is desired, make family/visitors aware of the consultation room. Use an access card to swipe the panel allowing access to the consult room. Be aware of keeping the noise level down in the open waiting room area. To make families aware of the surgical communications board. Please remind waiting family members that if they are wishing for an update on their loved one’s surgical status that they should ask you in order to make contact with surgical staff. Please call #5200 from either the desk phone or the wall phone located by the pre-op door. To make families aware of the coffee, cookies, etc. and encourage people to help them themselves. Volunteers are asked to pick up cookies from the cafeteria when coming in for the morning shift only. Fresh coffee is made daily according to the posted directions. A plate of 2 dozen cookies only will be provided daily. To be mindful of security issues and always call for staff to meet a new individual if you are not certain of their nature. For instance, a salesman or a special delivery personnel should not be allowed back into the pre-op area without a phone call first to alert and ask for staff assistance. To perform miscellaneous duties such as assembling, sorting or stamping patient packets, if needed by SDS staff. To call and to remind the next day’s volunteer(s) about their shift the following day. To properly dispose of the daily surgery roster at the end of one’s shift. In addition, volunteers will remind family/visitors to answer phones after volunteer leaves or to call the Nurse’s Station at #5200 if any new questions develop or if they want a reentry to the pre-op area. POSITION REQUIREMENTS Knowledge and Skills Volunteer is to be mature, tactful, sympathetic, patient and receptive to the family’s needs. Must be able to use discretion, exhibit good communication skills and understand the confidential nature of information with which she/he works. Must have knowledge to operate a coffee maker and understand its safety. Physical Demands Good vision and hearing is required. Requires a considerable amount of sitting. Must have access to greeting, to serving and to directing families and staff. NON-PERFORMANCE REQUIREMENTS Supervised by Volunteer Coordinator and Department Head or Nursing Staff Responsible for the Department Manager (Supporting staff to give recognition and thanks to volunteers whenever possible.) JOB IDENTIFICATION Job Title: Hospitality Greeter Volunteer Supervisor: Volunteer Coordinator Hours: Morning: 6:30am- 10am Afternoon: 10am-2pm Position Description: Volunteer greets visitors, patients, and medical and hospital staff, helps them with their needs and directs them accordingly. Volunteering promotes good public relations and customer service. Volunteer is a friendly greeter and is interested in directing newcomers as needed. By doing so, the volunteer enhances the image and vision of St. Gabriel’s Hospital "to create the best healthcare experience by igniting the spirit for superior care and service." The volunteer practices confidentiality in all measures and acts with a strong set of moral and ethical principles. Primary Tasks: To greet patients/visitors as they enter the front doors of St. Gabriel’s Hospital. Whenever possible, each patient/visitor is genuinely asked how we might be able to help them. The volunteer always puts the patient/visitor first. Keep in mind "hospitality" just as you would treat guests at your home! Smile, greet & make people welcome as a part of customer acknowledgement. To coordinate the traffic flow of the front lobby for patients needing admissions either to the "Fast Track" station or the regular admitting office. Please have patients sign their first name on the sign-in log and then have patient(s) take a seat in the appropriate waiting area, either waiting room #1 or the front lobby. Help patients overcome their fear of losing their place if several more need to be admitted. Provide them with reassurance, cordial personal name greetings, etc. For regular scheduled appointments, have patients be seen in... Admitting office- Middle Door, Door #1249. Waiting area is in waiting room #1. When coordinating the traffic flow ask the switchboard to call for back-up support if three or more people are waiting. Volunteers keep those waiting informed about who is next, and may call to the intended department to let know if a patient has arrived. This reduces anxiety in the midst of customer wait time. If a family member comes in wishing to see a loved one who’s been brought into the ER, the volunteer always tells the switchboard first. The volunteer asks the visitor to be seated momentarily and explains this to the customer. Remember, there may be good reasons for not allowing more family members in the ER. You may help a patient with a wheelchair, by only bringing the wheelchair to the patient. Volunteers are to avoid assisting or transferring a patient in or out of a wheelchair. This includes helping someone in or out of their car. If assistance is needed, the volunteer is to tell the switchboard in order for the switchboard to contact staff assistance. Remember to always put the brakes on the wheelchair for the chair’s stability. The volunteer knows the medical procedures and registration process required for incoming patients. If the volunteer is in doubt about whether a patient needs to register or not, admitting staff is consulted. If a patient or visitor has a complaint or concern about the services they received while at the hospital, please refer them to our Risk Management Manager at ext. 5605 for further information. We want to acknowledge and to thank our customers for any recognition, concerns or questions they may have. The volunteer regularly familiarizes themselves with all administrative staff, directors and managers and the various department locations. The volunteers are asked to report any suspicious looking people, behavior or activity. Please let the switchboard know in order to call security personnel. Volunteers deliver flowers and mail regularly and check to see if patients are "in house" before the person leaves. If the census roster does not show the patient’s name, please check with the switchboard to see if the patient may be in Same Day Services or they may be a staff person. The patient may not have been assigned a room yet or the patient has chosen not to "disclose" their admission. Please help to keep the hospital’s waiting rooms and hallways tidy. Please take the liberty to clean out magazine’s that are more than 3-6 months old depending upon the magazine’s timeliness such as Good Housekeeping. Magazines that require very newsworthy information such as Newsweek could be thrown out after 1 month. Throw out magazines that are "tacky" or have curled corners, stained pages or ripped covers, etc. Please return wheelchairs to the lobby, etc. Performance Requirements: Knowledge and Skill: Must have "people skills" and enjoy working with the public, staff and other volunteers. Must maintain good working relationships with others and convey a "team effort". Must be able to remain calm when patients or family members are experiencing dissatisfaction, pain, confusion or anxiety. Must demonstrate abilities to keep matters CONFIDENTIAL by asking only these questions necessary in order to help you do your volunteer tasks. Physical Demands: Need good physical health. Stands, walks, pushes (wheelchairs), writes, sits, and talks and listens in performance of tasks. Non-performance Requirements: Wears appropriate attire and nametag at all times in compliance with "volunteer dress" policy. Signs in volunteer hours and uses lunch/snack breaks passes if 3 ½ to 4 hour shifts. Finds a substitute if unable to work one’s scheduled times. Attempts to make a minimum of three calls first to find sub. If unable to do so, volunteer staff is notified.

Therefore, when serving patients, visitors, etc., a pleasant attitude is encouraged for good public relations. You are responsible for the information in the Volunteer Handbook and the following: Primary Tasks: Check the communication book for messages and leave suggestions there. Keep the shop clean according to the dusting schedule on the furnace. If there are any violence or robbery attempts, call 9-911. If there is a threat of a fire or any other emergency that internal security personnel can manage, call 3333. Record all items sold in a booklet by the cash register before you ring them up. Gift wrapping is free. Please offer it to customers. Restock only those items from the storage room that have a price tag on them already. Please restock whenever possible. Performance Requirements: Knowledge and Skill: Must have "people skills" and enjoy working with the public, staff and other volunteers. Must have good communication skills and be able to work with customers in a kind, understanding and patient manner. Must be able to work with money- add, subtract and keep records.
