Reporting to the Executive Assistant to the CEO and the CEO, Virtual Administrative Assistants will provide administrative and clerical support to assist with effective operations of the Executive Office of AADA and manage or support special projects. This role requires the ability to exercise discretion and take independent initiative. This role utilizes online communication channels, such as internet, dropbox, phone, e-mail, text and others to deliver information to donors, partners, volunteer staff, and others. Duties and Responsibilities Preparing and editing documents and correspondence (memorandums, email responses, letters, reports, instructional documents, outreach materials, donation requests, etc) Prepare PowerPoint/Canva presentations, graphics Data entry Simple research (background information on potential grantors, partnerships, events, etc) Assist with grant application research as needed Creating and maintaining organizational systems (primarily using Google Suite: Gmail, Sheets, Docs, Calendar, Forms) Assist with managing accounts and calendars Scheduling and coordination of meetings and events Assist with social media needs Assist with creating and distributing the newsletter Assist with website maintenance as needed Other administrative tasks as assigned Skills and Specifications Proficient in computer applications such as Google Suite, Microsoft Suite, Canva Ambitious, a self starter Intuitive Ability to work well with others and to complete work with minimal supervision Excellent written and verbal communication skills Exceptional organizing and planning skills Ability to understand, and execute complex written and verbal instructions Able to maintain confidentiality Able to react calmly, effectively and keep composure under pressure Able to deliver excellent customer service, externally and internally Ability to meet close deadlines Preferred Education and Qualifications College degree or working towards a college degree from an accredited institution At least 1 year experience in administrative functions At least 1 year Customer Service experience

AADA seeks a Non-Profit Membership/Engagement Coordinator to support AADA’s work with our expanding nationwide network of individuals, nonprofit member and partner organizations. The coordinator will provide logistical and administrative support for membership and capacity building programs, maintain membership and partner data, track membership engagement, draft and send out network communications, support regional and national meetings, and manage the implementation of diabetes workshop series and other capacity building programs throughout the United States. The Non-Profit Membership/Engagement Coordinator will primarily support the Director of Programs, Director of Advocacy and AADA's CEO in their work with AADA’s network of individuals, partners and member organizations. Job Duties and Responsibilities: ship Member Engagement Ensure individual and organizational membership applications are reviewed in a timely manner and move forward the work of the Membership Review Committee of the AADA Board Develop, maintain and distribute new member orientation packet Track membership status and support membership renewal process Support quarterly meetings of Executive Directors of member agencies Coordinate member requests for sponsorship, letters of support and other needs Partner Communications Compile and disseminate network communications, including newsletters, announcements and invitations Maintain content for AADA network on AADA website, including capacity-building resources and network and state by state diabetes resource directories Maintain membership page on website with information on membership criteria, benefits, responsibilities, and the application process Support and encourage AADA members in using AADA logo/branding Partner Management Maintain partner and member information in database and support creation of network reports for leadership and board Work with AADA communications staff to build out presentation of network partners list on AADA website, in a manner that it can be sorted and searched according to various criteria Track partner engagement in various AADA programming, and work with AADA colleagues to collect and input engagement information Capacity Building Programming Support logistics for AADA Diabetes workshop series, conducting outreach and follow-up, hosting workshops, supporting consultants, and processing payments Support implementation of national and regional partner meetings Support capacity building initiatives for members, such as AADA's Diabetes Leadership Advisory Board, Board recruitment events, and capacity building programming for members. Coordinate organizational onboarding for new members Qualifications and Skills: Minimum of a Bachelor’s degree and demonstrated knowledge of non-profit work within underserved low-income communities, particularly African Americans. At least three (3) years of professional experience in administration, logistics or technology Excellent technology skills; experience with Office 365, conference platforms, and third party databases Efficient, detail-oriented and organized Ability to multi-task and balance assignments from more than one staff person Strong, well-developed verbal and writing skills Exceptional ability to work with others and develop trust with partner agencies and staff Commitment to AADA's mission and core values

Knowledge and understanding of technology issues affecting not-for-profit organizations is preferred.
