V o l u n t e e r P o s i t i o n D e s c r i p t i o n : E v e n t M a n a g e r Position Overview We are searching for an enthusiastic Event Manager with a "can-do" attitude to assist our organization in hosting events that enhance our organization's image, raise funds for operational costs and campaigns, and connect with our members, legislators, and the community. Duties and Responsibilities ● Identify requirements and expectations for each event. ● Liaise with vendors, exhibitors, and supervisors during the event planning process to ensure everything is in order. ● Assist with volunteer management during planning stages and day-of. ● Keep up to date records in appropriate spreadsheets and shared folders to enable ease of access for other HAP leadership. ● Manage all event set-up, tear down and follow-up processes. ● Maintain event budgets. ● Book venues, entertainers, photographers, and schedule speakers. ● Conduct final inspections on the day of the event to ensure everything adheres to the proper standards. ● Assess an event’s overall success and submit findings. ● Respond to HAP leadership emails and calls within 48 hours ● Be prepared and on-time for meetings and events ● Share and support HAP’s mission and core values; adhere to HAP’s policies ● Other duties as needed Time Commitment Required Varies. HAP executes one large fundraising event per year in the spring, the Heroes Awards Reception (commonly referred to as the "gala"). Planning for this event will begin as early as the completion of the prior year’s gala and could require an hour per week throughout the year, with more as the event draws closer. Other event assistance and planning on as needed basis. Location The research and planning can be conducted remotely from home or another location. Attendance at HAP meetings required. Skills and Qualifications ● Self-motivated ● Ability to present yourself in a friendly, professional, and non-partisan manner ● Ability to work independently, follow instructions, and meet deadlines ● Working knowledge of Google Drive, Trello and Dropbox, or a willingness to learn Training Requirements Training on HAP’s values, policies and core values, including orientation on campaign missions and status. The HAP Director of Humane Education (DHE) will focus on reaching young people in middle school, high school and university classrooms as a Humane Educator, and by connecting institutions with our team of Humane Educators (HEs). Communicate what animals wish humans knew and what they need. Our audience ranges in size from small groups to school-wide assemblies. Director of Communications Position Overview The #1 goal of Humane Action Pittsburgh (HAP) is to educate the Pittsburgh region on how to prevent and relieve animal suffering by taking meaningful action. The HAP Director of Communications will manage information delivery and help promote and maintain HAP’s image and branding. Purpose of the Position ● Keep HAP membership informed on issues as informed by HAP leadership ● Increase visibility and impact of HAP ● Engage with membership to publicize issues involving our organization and highlight events and achievements Duties and Responsibilities ● Develop effective messaging and communication strategies ● Create and oversee promotional and informative materials ● Assist on all forms of media, including press releases and digital campaigns, print materials, social media, and more ● Make edits to website as directed by HAP leadership ● Make sure all HAP materials have consistent and positive messaging and branding ● Create and share HAP monthly newsletter ● Assist HAP leadership with written materials ● Work with Director of Fundraising to manage CRM ● Develop relationships and work with media outlets and other entities ● Grow awareness of HAP with the general public Training Requirements Training on HAP’s core values, mission, and policies, including orientation on various campaign missions and statuses. Position Overview - As HAP continues to grow, more fundraising dollars will be needed to reach our goals. The grant write will prepare proposals, grant applications, and supporting documentation by researching, identifying, developing, and responding to grant opportunities in order to procure funds for operating expenses and specific projects/campaigns. Duties and Responsibilities - 1. Regularly check-in with leadership and volunteers of HAP to discover specific projects that are in need of grant funding 2. Review new grant opportunities on an ongoing basis. This includes subscribing to email lists to receive updates on Requests for Proposals (RFPs) and conducting research to self-identify opportunities. 3. Collaborating with HAP volunteers to collect information needed for grant applications. 4. Completing grant applications in full and submitting applications before application deadlines. 5. Keep track of grant applications that have been approved or denied and update HAP leadership team as needed. 6. Submitting reporting requirements to granting organization in a timely manner. This may again involve collaborating with other HAP volunteers to have proper knowledge of updates on a project the grant may have been awarded for. 7. Conduct ongoing communication with granting organizations as needed. 8. Respond to HAP leadership emails and calls within 48 hours. 9. Be prepared and on-time for meetings and events. 10. Share and support HAP's mission and core values; adhere to HAP's policies. 11. Other duties as needed. Skills and Qualifications - 1. Previous grant writing experience is strongly desired, but not required. 2. Strong writing skills 3.
