Mentor Program Coordinator Job Description Stella’s Girls Incorporated is a grassroots-based organization in Maryland, founded in 2016 to respond to the needs of girls and women in rural and developing countries. We are a research-based programmatic organization supporting young girls and women, age 12-30, through direct services including mentoring, social-emotional learning, coding, tutoring, and providing basic resources for the school. In addition to providing direct services, we work diligently for systemic change and contribute to the growing movement to end gender-based violence and fight for gender equality. Position Summary Stella’s Girls believes that with the right opportunities and support, underserved and at-risk youth can overcome the circumstances of their environment and begin to heal and succeed. Under the supervision of the Chief Operating Officer, this position implements Stella’s Girls Mentoring Program Initiatives The Sunflower Project (TSP), and Journey to Manhood (JTM). The Mentor Program Coordinator recruits, screens, trains, matches, and supervises volunteer mentors. The Mentor Program Coordinator works with Stella’s Girls partners and direct services staff to identify mentor-mentee matches. Once the matches are made, the Mentor Program Coordinator provides guidance to volunteer mentors as they work to build supportive relationships with TSP and JTM mentees. The Mentor Program Coordinator is responsible for the successful implementation of this grant, funded by the Department of Justice Office of Juvenile Justice Delinquency Prevention (OJJDP). Additionally, The Mentor Program Coordinator assists with general volunteer efforts, conduct intakes for new Stella’s Girls participants, and supports the Community Center as needed. PRIMARY DUTIES AND RESPONSIBILITIES Mentor Program Implement Mentor Program and meet deliverables for OJJDP Mentoring Grant. 2. Recruit, screen, orient, and provide 12 hours of training to all incoming volunteer mentors. 3. Maintain a minimum of 50 mentee-volunteer matches in each county. Maintain human resource files for all mentors as well as records of current, pending, and past mentors. Provide ongoing support and supervision to mentors, specifically conduct at least once per month one-on-one supervision as well as ongoing responsiveness to mentor questions and concerns. Provide ongoing education workshops to mentors at least once per quarter throughout the year. 7. Work with Stella’s Girls direct services staff to identify youth for the program. 8. Outreach and communications to increase youth referrals. Respond to all youth referrals in a timely manner; conduct youth intake and paperwork; meet guardian when applicable Hold quarterly partner meetings with the Youth and Community Advisory Councils to monitor partner deliverables and invoices. Maintain documentation and tracking program deliverables, including those of partner agencies for semi-annual reporting. Conduct mentor mixers to facilitate new matches. Plan and implement events for matched youth and their mentors. Plan and hold an annual mentor appreciation event. Maintain and update program & outreach collateral. Attend annual OJJDP National Partner meeting. Annually, as part of supervision, develop a professional development plan identifying personal goals, objectives, and activities. Actively participate in supervision and staff training. Maintain confidentiality at all times. Stay abreast of best practices and the latest research related to mentoring for commercially sexually exploited youth. Volunteer Program Recruit, screen, orient, and provide 8 hours of training to all incoming volunteers (in the same process as all mentors). Maintain human resource files for all Volunteers as well as documentation of current volunteers. Work with the Executive Assistant and Volunteer Coordinator to ensure all volunteers go into the salesforce database and to identify volunteer tasks. REQUIREMENTS Education ▪ College degree in human services or business preferred relevant experience will be considered. Experience ▪ Experience in developing and implementing programs required ▪ Experience administering programs required. ▪ Experience supervising volunteers or other individuals ▪ Experience facilitating training Knowledge, Skills, and Abilities ▪ Sound judgment and the ability to supervise mentors in the field ▪ Excellent speaking and writing skills ▪ Knowledge of commercial sexual exploitation ▪ Ability to develop positive relationships with community volunteers and with youth ▪ Highly organized and collaborative ▪ Ability to take initiative, dependability, flexibility and resourceful ▪ Ability to function independently and as part of a team ▪ Proficient in Microsoft Office Suites, Google Docs/ Calendar and Internet usage. Summary of Responsibilities: The Donor Manager reports directly to the Executive Director, Events Coordinator, and Program Manager. The Donor Manager is responsible for developing and implementing engagement and fundraising strategies to enhance and grow revenue and current and prospective donors. The Donor Manager also provides comprehensive administrative assistance to the Philanthropy department, with a focus on office and fundraising support, effective database management and reporting, event logistics, and donor stewardship efforts (acknowledgments, printed material inventory, prep materials for donor meetings). As necessary, the Donor Manager will recruit and supervise volunteers to help with department efforts. Paramount to this position is the ability to work with a high degree of independence and juggle various projects at once while maintaining a clear view of how each project supports the organization’s mission. Responsibilities: Design, document, and implement a systematic and integrated donor relations program. Establish and manage information tracking processes regarding acknowledgment, recognition, ongoing communications and continued cultivation of past and current donors and members to enhance their relationship with Stella’s Girls, Inc and increase the likelihood of continued contributions Maintain online profiles Assist with final reports for grants and other writing needs. Attends internal and external meetings, and community events as required. Discovers donor companies’ corporate social responsibility and/or workplace giving objectives, identifies opportunities that align with Stella’s Girls, Inc's mission statement, and works with staff to create engagement initiatives and opportunities. Works with Executive Director to create solicitation and year-round engagement strategies to retain current and attract new donors Maintain physical donor communication materials and inventory of general development team supplies. * Provide general clerical support * Answer general development phone inquiries. Provide professional assistance and interaction with donors (via phone, computer and face-to-face). Provide support when acknowledging appropriate financial and in-kind donations by correspondence. * Support Stella’s Girls team to generate development reports from databases (sponsors, major donors, individuals, lapsed donors, etc.). Qualifications and Experience Ability to convey a high degree of commitment and passion for the mission of Stella’s Girls Excellent written and oral communication skills that are effective with a diverse range of audiences including board members, volunteers, internal staff, donors, executives, potential funding partners and all constituencies. Ability to maintain a high level of confidentiality Exceptional understanding of philanthropy as it relates to the not-for-profit organization and a wide and deep knowledge of fundamental disciplines of resource development The ability to work independently and as part of a team; detail-oriented, well organized, focused and goal-oriented, with a high level of initiative and energy, as well as problem-solving skills. The knowledge and ability to create, execute and/or support, and oversee a comprehensive donor acknowledgment and recognition plan, including advising on complex and carefully orchestrated cultivation events and programs for the major donors.
