This Volunteer position supports the Volunteer Coordinator (VC) at our hospice program by helping to plan functions for our office staff and hospice patients. The Event Planner Administrative Assistant (EPAA) Vol will keep track of patient birthdays and help plan ways to acknowledge their special day. Additionally, they will plan "mini" birthday wish events for staff, and assist with larger event planning, like the annual Hospice Memorial, held every September, and the Volunteer Appreciation activities held in April each year.
The EPAA Volunteer assists the VC with the following:
- With VC, maintains office copy of birthday calendars for patients and employees.
- Stays current with sending cards, and creating nominal "gift" acknowledgements for patients, created with VCs input.
- For patients this may mean a card with fabric flower in a vase/delivered by staff during normal patient visits.
- For staff birthdays, works with VC and Branch Director (BD) to ensure monthly birthdays are acknowledged with special attention to planning for a cake, ballons, etc., to be determined by budgetary guidelines and with BD’s approval.
· Assists VC with recognizing Veterans for their military service, by coordinating with staff to receive military checklists and preparing certificates and pins for staff to award during their visits.
- Works with VC to create a meaningful, Annual Bereavement Memorial service, and Annual Volunteer Appreciation recognition.
- Research locations, or if held at the office site, explores ideas to make the environment serene for a bereavement service.
- Coordinated with Chaplains on bereavement service program.
- Assists VC with preparing and sending invitations, and other print materials.
- Assists VC with planning refreshments for events.
Conditions of Service
Office/Administrative:
· Ability to work flexible schedule.
· Ability to travel locally.
· Routine office environment, noise level may be moderately high.
· Ability to serve a flexible schedule.
Transportation:
· Must have a current driver’s license if providing direct patient care.
· Must have reliable transportation.
· Valid and current auto liability insurance required if providing direct patient care.
· Criminal History - Must agree to and pass a criminal history check.
Physical and Mental Effort
· Requires working under some stressful conditions to meet deadlines.
· Requires hand-eye coordination and manual dexterity.
Position Skills and Qualifications
Education: High School Diploma, preferred
Licensure: (N/A for this position):
Professional Volunteers must meet the requirements of specific licensure rules.
Skills: Must be able to read and write in English and follow written and verbal instructions in English effectively.
Demonstrates interest in the welfare of the ill and elderly.
