Role Overview
VoteMate seeks a dedicated, detail-oriented volunteer to serve as Secretary/Treasurer (Board Officer) for our Board of Directors. This is a hands-on, high-impact role for someone passionate about good governance, nonprofit growth, and empowering voters.
You’ll help shape our young organization’s path by ensuring financial stewardship, good record-keeping, and board compliance-crucial for our next phase of fundraising and launch.
Key ResponsibilitiesAs Secretary:
Maintain accurate records of board meetings, including minutes and resolutions
Ensure compliance with California nonprofit and IRS requirements for board documentation
Manage board meeting schedules, agendas, and notifications
Maintain up-to-date records of board members and organizational filings
As Treasurer:
Oversee VoteMate’s finances, including budgeting, financial reporting, and bank accounts
Coordinate with our CEO and bookkeeper to ensure responsible stewardship of donations and grants
Prepare regular financial statements for the board
Monitor compliance with nonprofit tax and regulatory filings (with CPA and legal support)
Prior experience in finance, accounting, bookkeeping, board governance, or nonprofit administration (volunteer or professional)
Detail-oriented, organized, and able to work independently
Comfortable using cloud-based tools (e.g., Google Workspace, QuickBooks)
Passion for civic engagement and the VoteMate mission
Prior board service is a plus, but not required
Estimated 2-4 hours per month (virtual meetings, occasional email/phone coordination)
Initial term: 4-5 months (renewable)
Play a pivotal role in building a high-impact civic tech nonprofit from the ground up

VoteMate Inc. is a 501(c)(3) nonprofit organization leveraging AI to break down barriers to informed voting. Our nonpartisan, private, and secure voting companion translates complex choices on your ballot into clear, personalized insights so voters can make decisions they’re proud of.
Description
In the U.S., millions of voters struggle to complete their ballots - not due to apathy, but because of cognitive overload, misinformation, and lack of time. Traditional voter resources are helpful but static, and most AI tools are restricted from giving specific, localized election information. This leaves voters on their own to navigate a system that’s too complex for many to trust or understand.
VoteMate changes that. Our secure, nonpartisan platform uses AI to guide voters through their own ballots with personalized, plain-language insights. Voters input their address and answer a short values-based questionnaire. VoteMate then generates a customized sample ballot with clear explanations of each race and proposition-along with alignment scores showing how well each option reflects the user’s stated beliefs.
Launching in Fall 2025 in Virginia and New Jersey, VoteMate is designed for time-strapped, digital-first voters who want answers, not noise. Our AI is built to be inclusive, multilingual, and transparent, offering the benefits of cutting-edge civic tech without corporate influence.
