ORGANIZATION: VETERAN PROJECT MANAGER MENTOR ALLIANCE

Job Overview:

The Chief of Staff (Volunteers) provides vital administrative and strategic support to the President and the Board of Directors, mainly focusing on the comprehensive management of VPMMA's volunteer network. This role is crucial in ensuring all volunteer activities, including recruitment, training, retention, and engagement, are effectively aligned with VPMMA's mission and strategic goals. The Chief of Staff also plays a crucial role in board development and the seamless onboarding of new board members and volunteers, fostering a culture of high performance and ethical integrity within our volunteer community.

Key Responsibilities:

  • Volunteer Directorate Leadership: Guides and manages the Volunteer Directorate, creating and implementing strategies for strong volunteer recruitment, thorough training, effective retention, and ongoing engagement.

  • Board Development and Support: Works closely with the President and Vice President to assist the Board of Directors, helping with strategic planning and ensuring smooth board operations.

  • Onboarding and Integration: Designs and implements a smooth onboarding process for new board members and volunteers, ensuring they are fully absorbed into VPMMA's culture and operations.

  • Administrative Oversight: Oversees the administrative tasks related to volunteer activities, including keeping accurate records, preparing reports, and handling communications within the volunteer community.

  • Policy Adherence and Improvement: Ensures volunteer activities align with VPMMA's Code of Conduct, ethical standards, and all relevant legal and regulatory requirements, especially related to volunteer engagement.

  • Communication Facilitation: Acts as a central liaison for communication among the board, VPMMA leadership, and volunteers, promoting transparency and adequate information flow.

  • Issue Resolution: Serves as the primary point of contact for volunteer concerns or issues, assisting in resolving problems and maintaining a supportive environment.

  • Strategic Contribution: Contributes to the overall strategic planning and organizational development initiatives, providing insights from the volunteer perspective.

  • Culture Promotion: Actively fosters a culture of professionalism, teamwork, continuous learning, and appreciation among all volunteers.

Required Skills and Qualifications:

  • Proven experience in volunteer management and engagement, preferably in a nonprofit setting.

  • Strong organizational and administrative skills, with proficiency in document management and relevant office technologies (e.g., Flowlu, Google Suite).

  • Excellent communication and interpersonal skills, capable of fostering positive relationships with diverse stakeholders.

  • Demonstrated ability to manage multiple projects and priorities simultaneously while meeting deadlines.

  • Knowledge of best practices in volunteer recruitment, training, and retention.

  • Strategic thinking and problem-solving capabilities, with a focus on enhancing volunteer impact and organizational efficiency.

  • High level of discretion and ethical conduct in all aspects of governance and volunteer interaction.

  • Ability to adapt to a dynamic environment and support organizational evolution.

  • Must be a U.S. citizen, including naturalized citizens.

Position Details:

  • Type: Volunteer

  • Location: Remote

  • Time Commitment: Dedicate 5-8 hours per week to VPMMA activities, or at least 20-24 hours per month. This includes actively participating in committee and directorate activities and attending all scheduled meetings.

  • Communication Responsiveness: Respond to communications within 24-48 hours, unless on a scheduled break.

  • Term Limits: Serves a two-year term, with the possibility of re-election

  • Reports To: President and Vice President

​VPMMA is a 501c3 Non-Profit Organization that provides industry-based project management career mentorship and networking opportunities for our great Nation’s Service-Members, Veterans, and Military Spouses. Empower and equip military service members, veterans, and spouses to achieve project management career greatness through mentoring and professional development.

Description

In December 2017 Eric "Doc" Wright and Joe Pusz, PMO Joe started a proof of concept which eventually became VPMMA. ​A select few Veterans and Mentors connected to try to concept, pairing a Veteran seeking a career in Project Management with an experienced PM. The results were immediate and VPMMA was born.

The goal for VPMMA is to leverage the generous project management community to find Mentors willing to volunteer time to benefit Veterans, Servicemembers and Military Spouses. In short order, the support was overwhelming. Mentors from across the United States stepped up to serve those who have served us. Now is your turn to join us and give back some of your time to help a Veteran, Servicemember and Military Spouse.
