The Animal Operations Executive Assistant is responsible for providing administrative support to the Vice President of Animal Operations.

Team: Animal Operations

Location: Remote/Virtual: Virtual from anywhere, understanding we are in the CST time zone.

Time Commitment: up to 10 hours per week

Compensation: This is a Volunteer Position with no monetary compensation.

Reports to: VP of Animal Operations and Executive Director

Works with: Animal Operations Team, Correspondence with the public, DPA leadership and volunteers. Professional communication is required.

Position Responsibilities:

• Manage executive calendars, schedule meetings, and coordinate appointments

• Track expenses and file invoices and documentation properly

• Organize and book travel arrangements and accommodations as needed

• Process and pay invoices in a timely manner

• Prepare and maintain spreadsheets

• Generate reports as required

• Assist with special projects as assigned

• Prepare, proofread, and edit correspondence, presentations, and other documents

• Assist with event planning and execution for fundraising activities and community outreach

• Respond to email and phone inquiries on behalf of the VP of Animal Operations

• Assist with inbox management for general inquiries

• Other duties as assigned

QUALIFICATIONS:

• Must be at least 18 years of age

• Proficiency with Gmail and G-Suite applications

• Fluency in English; bilingual a plus!

• Ability to operate a computer or mobile device

• Google Drive, Excel, Word and PowerPoint experience

• Ability to multitask and meet deadlines

• Be organized and exhibit "follow through" on tasks and goals

• Ability to assess data and report on findings

• Must have excellent oral and written communication skills, and maintain professional level correspondence at all times
