Position Summary:
Rescue Alliance is seeking a dedicated and organized Volunteer Adoption Coordinator to oversee the care and presentation of adoptable cats at our PetSmart Adoption Centers, manage a small team of volunteers, and help facilitate adoptions. This position plays a key role in ensuring our cats are well cared for, our adoption centers are clean and inviting, and our weekend adoption events run smoothly.
Key Responsibilities:
Volunteer Oversight & Daily Operations
Create and maintain a weekly schedule to ensure kennels and the adoption rooms are cleaned daily (ideally twice/day; minimum once/day).
Recruit, train, and support new volunteers to assist with cleaning, socializing, grooming, and restocking supplies.
Maintain a current volunteer contact list and reach out weekly to confirm scheduling.
Approve and supervise any court-ordered or community service volunteers.
Serve as the point of contact for all cleaning and maintenance-related volunteer issues.
Adoption Room Monitoring & Animal Care
Inspect the adoption rooms and check on cats at least 3 times per week.
Ensure cats are:
In good health and not overstaying the 21-day limit at the store
Properly checked in to AME
Listed with a clear photo, correct location, and up-to-date description in Petstablished
Housed in kennels labeled with food type and any behavioral notes
Verify that the rooms are tidy and that litter boxes, food bowls, and dishes are clean.
Ensure supplies (food, litter, cleaning products, etc.) are well stocked.
Communicate with Rescue Alliance leadership (Judi or Jonathan) about any needs not provided by PetSmart, such as gloves, scoops, treats, etc.
Collect and record any cash adoption fees as needed.
Ensure signage is current, clear, and in good condition.
Adoption Events Coordination
Organize and run one weekly adoption event, preferably on Saturdays.
Arrange for cats to be transported to/from the event and ensure set-up (tables, crates, etc.) is completed.
Monitor the cats’ stress levels and adjust accordingly to maintain their well-being.
Engage with the public-educate them about Rescue Alliance, encourage donations, adoptions, fosters, and social media follows.
Process adoptions and collect/log donations at events.
Clean up and store all event materials after each event.
Qualifications:
Passion for animal welfare and strong commitment to Rescue Alliance’s mission
Excellent organizational, time management, and communication skills
Comfort working around cats of varying temperaments
Ability to lead, motivate, and communicate clearly with volunteers
Must be dependable, proactive, and able to work independently
Experience with animal care, customer service, or volunteer coordination is a plus
