Broken Tail Rescue (BTR) - Intake Coordinator
Do you love cats and logistics? Broken Tail Rescue is seeking a detail-oriented volunteer to coordinate the arrival of cats into our adoption program. You’ll manage the behind-the-scenes steps that help cats transition smoothly into care at PetSmart, including intake planning, vetting, and record-keeping.
This role offers flexible hours and doesn’t require a set weekly shift, but you should be able to visit PetSmart about once a week. Some weekday availability is essential-brief phone calls and message replies (e.g., 20 minutes every other evening) are typically enough. Weekend-only availability won’t be sufficient, as timely communication is key. Most intakes are scheduled in advance, though occasional last-minute changes may arise.
Core Responsibilities
Plan and coordinate intakes: Communicate with trappers, owners, and partners. Review surrender requests, create intake plans, and assign space in collaboration with the BTR Store Lead.
Oversee basic vetting: Ensure required veterinary care is completed. Coordinate appointments and transport when needed. Print and prepare all intake paperwork.
Manage records: File veterinary paperwork and complete (or delegate) a simple intake form for each cat at PetSmart.
Update spreadsheets: Maintain two key tracking documents with intake and vetting information.
Written guides and support are provided, including mentorship from the current Intake Coordinator.
What You’ll Need
Clear, respectful communication (email, phone, and in person)
Strong organization and attention to detail
Comfort using Gmail, Google Sheets, and Forms (no advanced skills required)
Ability to set limits and escalate concerns when needed
Helpful, but Not Required
A Facebook account for volunteer coordination
A car (occasionally helpful for local owner surrenders)
Willingness to learn basic cat health signs (e.g., excessive thirst, weight loss)
Comfort handling occasional unpredictability or tricky conversations

Broken Tail Rescue, Inc. is a 501(c)(3) non-profit foster-based rescue organization dedicated to the rescue of unwanted and abandoned dogs and cats in urgent need. We work closely with local animal controls, animal shelters and rescue groups to ensure the placement of these forgotten animals. We will not discriminate on basis of health, age, or breed and will only consider humane euthanasia in cases of aggression or for quality of life due to untreatable medical conditions.
Description
We take in dogs and cats that are in need of new homes from local animal controls, shelters and owners and find appropriate homes for them after they are spayed or neutered. We do this through the use of foster homes and volunteers.
