As we prepare to finish construction and welcome our clients and volunteers to our new headquarters, the Damien Center will also be preparing to launch a variety of new volunteer programs. We will need critical assistance from people like you, who are friendly, outgoing, and eager to help their community. We are searching for folks to serve as volunteer receptionists in both our new Mosaic headquarters and in our Legacy clinic location - both here on the Damien Center campus! Volunteers will share responsibility between both offices, if possible, and will be working under the direct care and supervision of Damien Center staff for the duration of their volunteer shift. This is a great opportunity for folks with recurring availability during the week, for folks who are looking to meet volunteer hour or service goals, and for folks who enjoy direct interaction with Damien Center clients, patients and participants.
Key Responsibilities:
- Greeting guests, patients, clients and program participants upon entry and directing them to their appointments
- Answering occasional, non-critical and non-sensitive phone calls and questions from clients with assistance from Damien Center staff
- Ensure the reception area is clean, professional, and welcoming for all guests
- Utilizing Microsoft Teams to message Damien Center staff about appointments, questions and meeting times when necessary
Skills & Qualifications:
- Have a friendly and approachable demeanor - be a people person!
- Strong and effective communication skills - must be able to converse with folks from diverse and marginalized backgrounds without stereotyping or imposing judgement.
- Basic customer service, reception and administrative, clinical and/or retail experience is preferred, but is not a requirement.
- Ability to utilize, or learn to utilize with training, Microsoft suite apps including Microsoft Teams and Outlook.
- Must be willing to maintain confidentiality of visitor information in compliance with all relevant HIPAA guidelines.
Physical Requirements:
- Ability to sit and remain seated for extended periods of time while behind the reception desk.
- Ability to stand and walk occasionally, with or without assistance.
- Ability to use hands to operate a standard desktop computer, as well as a standard landline telephone.
Time Commitment and Training:
- All interested volunteers will be required to (1) create a New Volunteer Profile in CERVIS and (2) complete a New Volunteer Orientation and Training Session - either virtually or in-person prior to their first volunteer shift. This is required regardless of the position you are applying for.
- We are in need of critical volunteer assistance in the afternoon/evening on Tuesdays, Wednesdays, and Thursdays of each week - with plans to expand based on volunteer availability. Preference will be given to volunteers who are able to commit to multiple shifts at a time. Shifts are typically 3 - 4 hours long and are arranged via email or phone call directly with the volunteer supervisor(s) for that area.
- We are hoping to begin welcoming volunteers during the week of Monday, May12th. Due to the nature of this program and the need for consistent volunteers for our clients that will be impacted, please remember that preference will be given to volunteers who can commit to at least three or more shifts each month.
- Before their first shift, or during their first shift at the discrepancy of the Testing Clinic Manager/volunteer supervisor for that area, volunteers may be asked to undergo a brief screening call with the Testing Clinic Manager/area volunteer supervisor to ensure they understand the role and are fully prepared.
About the Environment:
The Testing Clinic is currently run out of our new headquarters, the Damien Center Mosaic building, located at 1420 E. Washington St. (on the first floor of the building). The Harm Reduction lobby will be housed in the lower level of our former clinic building, the Damien Center Legacy building, located at 26 N. Arsenal Ave. Volunteer receptionists may be asked to work shifts at only one location or at both locations. Volunteer receptionists will always be working under the direct supervision of other Damien Center staff whenever necessary. The work environment can get a bit hectic and busy, but this typically does not last for extended periods of time - providing ample opportunity for one to work on homework or tasks for another job while volunteering. This volunteer opportunity is a great fit for folks who might benefit from a recurring, ongoing schedule of volunteering like students or retired community members.
