About This Role
We’re looking for two collaborative and systems-minded volunteers to join us as Internal Systems & Optimization Coordinators.
This isn’t a typical admin role -- it’s a chance to shape how a nonprofit operates from the inside out. You’ll work closely with the founder (and with each other) to assess what’s working, streamline what’s not, and help turn disorder into clarity across tools like Google Drive, Gmail, task trackers, forms, and digital delivery processes.
This role is flexible, remote, and focused on real impact. You’ll help us build something lasting, organized, and ready to scale.
Why Two People?
We’re hiring two people for this role to work as a team. You’ll:
- Collaborate through Google Chat and shared docs
- Make joint recommendations and decisions
- Choose one person to bring final updates or decisions to the Founder (we’ll review both your work and communication style)
This approach promotes shared learning, idea exchange, and gives both volunteers a chance to grow into larger roles. Over time, one person may take the lead, while the other shifts into another impactful position based on strengths and fit.
Key Responsibilities
- Evaluate and map out current internal systems (e.g. volunteer coordination, digital product delivery, client communication, file organization)
- Recommend improvements to increase clarity, consistency, and efficiency
- Collaborate with your teammate and communicate key updates to the Founder
- Help define what roles, tools, or volunteers are needed to implement improvements -- you’ll help coordinate solutions, not carry them all out alone
- Contribute to light documentation of new systems or processes (you won’t be expected to write full SOPs unless you choose to)
Important Note
This role is more about strategy and coordination than manual setup. You are not expected to implement every solution yourself. Instead, you’ll help identify what’s needed (such as additional volunteers, automations, or tools) and help guide those changes. We want you focused on big-picture thinking -- you’ll help design the blueprint, and we’ll work together to build it.
Skills We’re Looking For
Required:
- Strong organizational thinking
- Comfort with tools like Google Workspace, Trello/Asana/Notion, or Airtable
- Experience with digital systems, file organization, or productivity tools
- Solid written communication
- Self-motivated and proactive
Bonus Skills (Not Required):
- Light tech/automation experience (Zapier, Google Scripts, Forms, Mailchimp, etc.)
- Familiarity with digital product delivery (e.g., linking Google Drive to PayPal or form submissions)
- Experience creating SOPs or internal guides
- Past nonprofit or volunteer leadership
Time & Commitment
- 8-12 hours per week (flexible, self-managed schedule)
- Minimum commitment: 3 months (Preferred: 6 months)
- All communication happens through email and Google Chat
- You’ll be given a Lumoset Google Workspace account to use during your time with us
