VMS Google Workplace Automation
Commitment:
12-months, 1 hour a week.
Expectation
Automate and optimize workflows within Google Workspace (Forms, Sheets, Docs, Gmail).
Organize and maintain scripts and related documentation.
Attend a 30-minute meeting once a week.
Role Overview:
This role is responsible for building and maintaining automations using Google Apps Script to streamline workflows for the Volunteer Management System (VMS), improve reporting, and reduce repetitive tasks. The engineer will also organize technical documentation and ensure processes are easy to replicate and build upon.

Volunteer, or 40 Greenstand Impact tokens a month

AREAS of RESPONSIBILITY
The Volunteer Management System (VMS) at Greenstand benefits from automation to streamline volunteer onboarding, data tracking, task coordination, and communication. This role will enhance the VMS by developing efficient automation workflows using Google Workspace tools and scripting.
This role is responsible for:
- Designing and deploying Apps Script-powered automation for internal tools like Forms, Sheets, Docs, and Gmail.
- Managing triggers, workflows, and scripts that move data and automate key touchpoints.
- Organizing technical documentation and training materials for these systems.
Required tasks
Google Forms & Sheets Automation:
- Create and maintain volunteer intake forms, feedback surveys, and connected Sheets with automated formatting, tagging, and data routing.
Apps Script Development:
- Develop and maintain scripts to automate approval flows, status updates, notifications, and document generation.
Email & Calendar Workflow Automation:
- Set up workflows that trigger personalized email responses, task assignments, and meeting invitations based on volunteer form submissions or system events.
Maintain Documentation & Structure:
- Ensure all automation processes are clearly documented in Gitbook or Google Docs, including logic, triggers, and integration points.
Troubleshoot & Optimize:
- Proactively monitor automation scripts for errors, inefficiencies, and outdated workflows.
Collaborate with the VMS Team:
- Gather needs from VMS leads and align automation efforts with volunteer coordination goals.
QUALIFICATIONS/EXPERIENCE/KNOWLEDGE:
- Experience with Google Apps Script (JavaScript-based) and automating Google Workspace tools.
- Strong understanding of Google Forms, Sheets, Gmail, and Calendar workflows.
- Comfortable working with triggers, web apps, and dynamic form/sheet integration.
- Strong attention to detail and technical documentation skills.
- Ability to work independently and communicate clearly in a remote team environment.
- Experience in nonprofit or open-source projects is a bonus.

Mission Statement
Greenstand is a U.S.-based 501(c)(3) nonprofit organization developing open-source technology to address climate change and alleviate poverty through digitizing environmental goods and services. We are made up of about 505 contributors across the globe. Our Treetracker app verifies and tracks individual trees, thus creating transparency in the reforestation sphere. Organizations and donors can locate individual trees and trade their ecological impact. By facilitating ownership of trees and their ecological services, Greenstand allows for tree-growing organizations to stay accountable.
Description
Greenstand develops mobile technology for better forestation techniques. Through our Treetracker app, rural smallholder farmers in some of the most remote communities on the planet are able to earn a sustainable income by planting, caring for, and tracking trees. Each tree grower takes a geotagged photo of their tree and uploads it to the Treetracker’s verification system, where Greenstanders verify that each photographed tree is alive and growing. Verified trees are digitized as Impact Tokens, which can be traded or sold among other Impact Wallet users within the Treetracker app.
Nasiyan was one of our first Treetracker. A single mother living with extreme visual and hearing impairments, she could barely afford to keep food on the table for herself and her three sons. However, since she began growing and tracking trees with Greenstand, her life has been looking up. Her young forest has become a small biodiversity hotspot, and with the income she has earned from tracking trees, she can now afford to send her boys to school.
