Bridging Beyond hosts in-person workshops and other events designed to bring people together, foster empathy, and strengthen community bonds. The sessions take place at various venues, such as community centres, schools, or shared public spaces, and involve interactive discussions and activities.
By ensuring events run smoothly-from initial setup to final wrap-up-you will play a key part in providing an engaging and impactful experience for participants.
As an Event Support Volunteer, you will:
- Assist with Venue Coordination - Help identify and prepare suitable locations for workshops, working closely with local contacts and the Workshop Delivery Teams.
- Manage Supplies and Equipment - Organise, transport, and set up materials needed for each session (e.g., printed handouts, refreshments, audio-visual equipment).
- Manage shared meals - Arrange for and manage shared meals sometimes a part of workshops and other events. Shared meals further enhance communication and understanding across differences.
- Support Event Logistics - Coordinate participant check-ins, arrange room layout, and help ensure that sessions stay on schedule.
- Facilitate Communication - Collaborate with facilitators, other volunteers, and venue staff to address any real-time needs or adjustments during the event.
- Wrap-Up and Debrief - Assist with post-event tasks such as collecting feedback, tidying up the venue, and updating relevant records or documentation.
In this role, you’ll help create a welcoming environment that allows participants to focus on meaningful dialogue and learning. Your organisational and people skills will contribute directly to Bridging Beyond’s goal of building trust and understanding among diverse groups.
The workshop and other delivery teams at Bridging Beyond design and facilitate the sessions where individuals from different backgrounds come together. By supporting these events, you’ll be making sure every workshop runs efficiently, maintaining high standards of comfort and professionalism for attendees. Your attention to detail ensures the logistics of in-person events never stand in the way of powerful discussions.

Skills and Experience:
Event Coordination or Administrative Experience - Prior experience in event planning, volunteer management, or office administration is helpful but not essential.
Communication Skills - Comfortable liaising with venue staff, facilitators, and participants, ensuring smooth flow of information and a warm welcome for attendees.
Adaptability - Willing to pitch in wherever needed, including last-minute changes or emerging logistical challenges.
Basic Technical Proficiency - Familiarity with tools like Google Workspace, spreadsheets, or simple scheduling software for organising tasks.
Commitment Details-
Time Commitment: This role is sessional, meaning your participation will be required primarily around scheduled workshop events. Depending on our programming calendar, you may support 1-2 events per month, typically requiring around 4-6 hours each (including setup and wrap-up).
On-Site Involvement: Events are delivered in-person at various locations, so reliable transport and punctual attendance are crucial. Travel expenses may be reimbursable in line with our policies.
Flexible Collaboration: You’ll coordinate with the Workshop Delivery Teams to confirm schedules, tasks, and special requirements in advance of each event.
Post-Event Debrief: Join brief online or in-person debriefs to share feedback on what went well and what can be improved for future sessions.
