50th Annual 2025 CalChess/USCF K12 Super States Scholastic State Championship in Santa Clara
Location: Santa Clara Convention Center, 5001 Great America Parkway, Santa Clara, CA
Date: Saturday, March 22, 2025

About the Event:
The 50th Annual US Chess Federation/CalChess K12 Super States Scholastic State Championship is one of the largest tournaments in California, and it is returning to the Santa Clara Convention Center. Bay Area Chess is organizing this exciting event, and we need responsible volunteers to help make the event run smoothly.

Saturday March 22, 2025 Volunteer Shifts:

  • Morning Shift: 7:30 AM - 12:30 PM (5 hours)

  • Afternoon Shift: 12:15 PM - 5:15 PM (5 hours)

Responsibilities:

  • Assist Tournament Directors (TDs) in managing players and parents.

  • Help with setup and takedown of tables, chairs, chessboards, and trophy displays.

  • Sanitize chessboards and other equipment between rounds.

  • Greet and assist participants, answer basic questions outside the tournament room (e.g., where to find food, restrooms, etc.).

  • Ensure a distraction-free environment for the players during the games.

  • Help post results and pairings.

  • Defer to TDs for any/all questions inside the tournament room.

What We Expect:

  • Professionalism and focus on your tasks.

  • Please refrain from using your phone/smartwatch or socializing during your shift.

  • Maintain a positive attitude and help others have fun.

Parking:
Free parking is available at the Santa Clara Convention Center in a 3-story parking garage.

Additional Shifts Available:
If you want to volunteer more, there are also Friday evening shifts (5-8PM) and Sunday shifts (8:30AM-1:30PM and 1:15-6:15PM). Please check availability for those shifts as well!

BayAreaChess started as a parent volunteer organization when our founder’s son moved to a school with a low-quality, high-cost commercial program. Our work was so successful other parents requested programs at their schools. We quickly evolved from a local chess club into a truly professional organization by applying sound business practices to support our rapid growth. We disrupted chess enrichment, transforming chess coaching from part-time contract gig to viable career as employees w/ benefits & HR support. While COVID suspended/closed chess clubs nationwide, we pioneered online offerings & grew. After 15 years, we are one of the most successful chess organizations in the US & the foremost 501(c)(3) non-profit chess organization on the West Coast. Still, our core values remain unchanged: treat all children like we would treat our own.

We employ the largest professional coaching staff, capitalize on the diverse talents of our volunteers, organize tournaments across Northern California, operate clubs/teams @the highest levels, & provide quality chess coaching from rookies to masters.

Named 2018 Chess Club of the Year by the US Chess Federation, BayAreaChess is the #1 USCF affiliate west of Texas for more than 15 years running (2008-2024).

REQUIREMENTS

  • This is a Done in a Day opportunity and there is no prior training or ongoing commitment needed.
  • Must be at least 14
  • 3 hours, but there may be flexibility in scheduling if the specified times don't work for you.
  • Volunteers under 16 require parent permission. Volunteers 18+ may require fingerprinting & DOJ/FBI background checks. There may be a brief orientation to the event & minimal training for certain tasks (like setting up chess boards).
