Reports to: Operations Manager
Commitment: 5-10 hours per week (flexible, based on organizational needs)

Role Overview:

The Operations Coordinator plays a key role in ensuring the smooth execution of Surmount New York’s day-to-day operations, programs, and events. This position supports logistics, internal systems, and organizational efficiency by handling administrative tasks, coordinating resources, and assisting with event planning.

Key Responsibilities:1. Operations & Logistics
  • Support the planning and execution of Surmount’s programs and events
  • Assist in coordinating logistics such as securing venues, materials, and schedules
  • Ensure smooth event setup, breakdown, and troubleshooting on-site
  • Maintain an operational calendar to track key activities and deadlines
2. Administrative & Internal Systems
  • Manage internal communication tools and ensure proper documentation storage
  • Support the implementation of organizational workflows and efficiency tools
  • Assist with record-keeping and data entry for volunteer hours, event attendance, and program impact
  • Help develop standard operating procedures (SOPs) to improve internal processes
3. Volunteer & Team Coordination
  • Assist in onboarding and coordinating volunteers for operational support
  • Help maintain volunteer records and schedules for various initiatives
  • Provide logistical support for volunteer training and engagement efforts
4. General Support & Problem-Solving
  • Serve as a point of contact for general operational inquiries and troubleshooting
  • Identify and address gaps in operational efficiency, proposing improvements where needed
  • Provide support to the Operations Director and other team members as needed
Qualifications & Skills:
  • Strong organizational and multitasking skills
  • Ability to work independently and collaboratively within a team
  • Detail-oriented with good problem-solving abilities
  • Experience in operations, logistics, event planning, or administrative support is a plus
  • Comfortable using or learning project management and communication tools (e.g., Google Drive, Asana, Slack)
  • Passion for Surmount’s mission and a commitment to community empowerment
