As the Volunteer Assistant Director, you'll lead Dallas Pets Alive (DPA) efforts in onboarding and retaining new volunteers and connecting them with teams that best fit the skill set and desired area of service, to support DPA’s continued growth and volunteer needs.

Team: HR and Volunteer Management Team

Location: Hybrid/Virtual: Located in Dallas-Fort Worth (DFW), mostly virtual, however able to be in-person as needed.

Time Commitment: 5 - 10 hours per week

Compensation: This is a Volunteer Position with no monetary compensation. After one year of service, we issue a professional letter of recommendation from our Director of Volunteer Management and Human Resources, as well as a LinkedIn recommendation(s) as applicable.

Reports to: Director of HR and Volunteer Management

Works with: Executive Director, DPA Leadership Teams, HR/Volunteer Director and Assistant Directors, Volunteer Coordinators, and maintains an ongoing interaction with applicants

Position Responsibilities:

  • Build, develop, oversee, and maintain a team of Volunteer Coordinators and Manager of Volunteer Operations
  • Oversee the application follow-up process and ensure application follow-up is done in a timely manner (weekly basis): screening applications, interviews are being conducted timely and recorded properly, and applicants are successfully forwarded to the appropriate department
  • Maintain up-to-date Volunteer Handbook and onboarding process for the Leadership Team
  • Ensure new volunteers are added to the appropriate volunteer database (Point) with applicable information and keep database current as to volunteer status and personal information
  • Oversee the maintenance of the Volunteer Directory (Google spreadsheet) and ensure audits are completed for updates and accuracy on a weekly basis
  • Perform month-end reporting by gathering data, documenting on spreadsheets, analyzing data, and submitting to the Executive Director
  • Maintain DPA’s organizational chart in Google Drive on a monthly basis
  • Proactively build applicant pipelines to meet current and future business needs
  • Maintain relationships with past candidates for future opportunities
  • Seek and act upon feedback from directors/managers and other department leaders regarding the onboarding process and successful placement of new volunteers
  • Seek feedback from volunteers through assessments and exit interviews
  • Participate in the process of organizing, developing, and communicating regular volunteer trainings/onboarding sessions
  • Coordinate retention programs, trainings, and events to ensure volunteers feel valued and appreciated
  • Communicate frequently with volunteers to ensure they are satisfied and well-placed
  • Disseminate information for upcoming actions and events
  • Keep detailed records of volunteers’ information and assignments in Google Drive Spreadsheets.
  • Provide recommendations for process improvements; assist with planning, developing, and leading new Volunteer initiatives

Secondary Responsibilities:

  • May present to groups and organizations about DPA's open positions, mission, and opportunities.
  • Assist with planning and executing quarterly and annual Volunteer events
  • Collaborate with the other Volunteer Team Assistant Directors to represent the Volunteer Director in their absence.
  • Participate in scheduled Leadership meetings and contribute to DPA initiatives
  • Improve the onboarding process by developing, implementing, administering, and evaluating candidate experience surveys and other organization wide projects
  • Collaborate with Volunteer Team Leadership to develop and finalize department goals

Skills and Qualifications best suited for this position:

  • Must not have conflicting associations with similar non-profit organizations or business(es) related to animal welfare
  • Must be at least 18 years of age
  • Proficiency with Gmail and G-Suite applications
  • Ability to plan, develop, and implement initiatives
  • Fluency in English; bilingual a plus!
  • Ability to operate a computer or mobile device
  • Must be able to have weekly availability to monitor and respond to emails with various urgency levels
  • Must be able to manage, train, develop, and lead Volunteer Coordinators
  • Must possess good organizational and email communication skills; attention to detail
  • Must be able to successfully collaborate with other team members with a variety of management styles and personalities
  • Must possess excellent people-management abilities

  • Reside in the Dallas-Fort Worth Metroplex, highly preferred
  • Must be able to support change initiatives and experience with project/program management

OUR APPROACH

Our organization is run mostly by volunteers, and all of our pets are housed by dedicated foster families throughout North Texas.

We rescue and help the healthy and treatable pets at greatest risk for euthanasia at our partner shelters. We also provide assistance and resources to pet owners having problems so significant that they need to surrender their pets to a shelter.

In our rescue program, we focus on:

  • Rescuing healthy and treatable pets at North Texas shelters at the greatest risk of being euthanized
  • Reducing owner surrender through our Positive Alternatives to Shelter Surrender (PASS) program
  • Opening kennel space by transporting pets to partners in the U.S. and Canada in need of adoptable animals
  • Challenging the way our community views rescue animals. We believe that adoption is not only right thing to do but THE thing to do!
