Administrative Support Roles for “It Takes A Legacy: Leveling Up
1. Event Coordinator Assistant
Duties:
-Assist in scheduling meetings and keeping track of deadlines
- Help organize event materials, itineraries, and checklists
- Communicate with vendors, speakers, and sponsors
- Ensure all event permits and paperwork are completed
2. Sponsorship & Donation Coordinator
Duties:
- Reach out to potential sponsors and donors
- Track sponsorship commitments and follow up as needed
- Organize and maintain records of received donations
- Ensure sponsors receive proper recognition before, during, and after the event
3. Volunteer Manager Assistant (Supports Aniyah - The Manager)
Duties:
- Help with volunteer recruitment and onboarding
- Keep track of volunteer assignments and availability
- Send reminder emails and manage check-in on the event day
- Ensure volunteers have the supplies they need (shirts, badges, etc.)
4. Marketing & Promotions Assistant
Duties:
- Manage social media updates and event promotions
- Create and schedule posts for Instagram, Facebook, LinkedIn, etc.
- Help with flyer distribution (both online and in-person)
- Assist in drafting email blasts and outreach messages
5. Registration & Guest List Coordinator (Supports Nafeesa)
Duties:
- Maintain RSVP and registration lists
- Send confirmation emails to attendees and vendors
- Organize event-day check-in process
- Prepare name tags and attendee materials
6. Logistics & Supply Coordinator
Duties:
- Keep track of all supplies needed for the event (food, giveaways, signage, etc.)
- Organize storage and transportation of event materials
- Create a checklist for event-day setup and breakdown
- Coordinate with vendors to confirm delivery/pickup schedules
7. Outreach & Community Engagement Assistant
Duties:
- Connect with community leaders, schools, and organizations to promote the event
- Help distribute invites to families and organizations
- Organize a follow-up strategy to keep families engaged after the event
- Collect testimonials and feedback from attendees
