Description: Adoption event coordinators are key to spreading the word about adoption, volunteering and fostering at our events. They help the event run smoothly and ensure that every attendee (both our volunteers and the public) has a wonderful experience. At our adoption events you get to shine a bright light on our dogs to potential adopters and help them move towards a better life.

  • Reports To: Lead Events Coordinator, if applicable, or Operations Manager

  • Location: Various PetSmart stores or other special event locations in the NY/NJ area, but specifically the PetSmart in Woodbridge, NJ.

  • Schedule: Saturdays and Sundays are typical of this role, with very occasional weekday opportunities.

  • Time Commitment: Approx 4 hours on weekends. We request a minimum of 3 months in this role.

Core Responsibilities:

1) Prepare event sites on a regular, scheduled basis by ensuring that the tables, chairs and pet crates are set up and/or available for fosters and adopters.

  • Tables are to be checked that they will carry combined crate/pet weight without endangering the animal.

  • Each crate is to be setup and checked to ensure that a pet will not be able to escape or injure itself.

  • Ensure the table covers, PR materials and signage are current.

  • Computers and hot spots are to be turned on between 15 - 30 minutes before the event starts to ensure that the laptops are connected to WIFI, fully charged and functioning properly.

2) Check the event area before the start time to ensure that all of the fosters’ belongings, dog go-bags, etc. are safely stored under tables or out of the way of the event site. Please also make sure that proper supplies are available including disinfectant/cleaning spray, paper towels, hand sanitizer, latex gloves, garbage bags, index cards and markers.

3) Provide guidance and support to all fosters ensuring that their pets are crated and that each foster is prepared to discuss his/her pet's personality characteristics, to provide first level screening of a potential adopter, to assist applicants for adoption with completing the adoption application online and to discuss fostering and volunteering with the rescue.

4) Provide mentorship for new fosters or fosters that are attending their first event.

5) Provide guidance, direction and support to volunteers working at the event:

  • Ensure that all volunteers know LLAR’s policies and procedures for animal handling.

  • Ensure that all volunteers are aware of any notifications or potential issues prior to the start of the event.

  • New/first time event volunteers:

    • Review all information and procedures regarding the event.

    • Introduce them to other volunteers working at the event.

    • Be available to them throughout the event to answer their questions.

    • Assign them to a mentor who should:

6) Actively recruit new fosters and volunteers.

7) Using Shelterluv.com, an interactive database, provide applicant screenings on-site for same-day adoptions and process adoption finalizations in a professional and efficient manner.

  • Provide remote finalizations for out of event adoptions or special events as needed.

8) Provide a level of escalation to any foster requiring assistance with an adopter, event patron or foster pet. Immediately take charge in case of a major disruption during the event, whether it is a single person who is upset, a parking lot accident or site emergency.

9) Keep the store manager informed of relevant issues to foster continued goodwill between the store and LLAR. Provide any information to the manager regarding the event that may affect his customers' shopping experience (large number of attending foster pets, special events or promotions, etc.)

10) Complete the store required adoption information to ensure that LLAR is credited with the correct adoption numbers each month.

11) Ensure proper breakdown, equipment storage and clean-up of the site at the end of each event. Crates should be cleaned and disinfected.

Description

Our Story

The story of Louie’s Legacy started in 2006 when our founder Emily met a Basset Hound mix with red fur and different colored eyes living at a shelter with a 99% euthanasia rate. Not long after bringing him home, Louie was diagnosed with heartworm disease. Some suggested taking him back to the shelter, but Emily refused. Louie was more than just a pet. He brought joy into her life and gave her something to care about and love outside of herself. And in the process of healing Louie, she found that he healed her too. Emily soon realized the overwhelming number of shelter animals whose lives were cut short. Louie could have easily been the same. Instead, he became an incredible catalyst for her mission and the inspiration for Louie’s Legacy. Since then, we've saved thousands of
animals and become one of the nation's largest foster-based rescues. Our goal is to save as many animals as possible and to expand our reach to help in even more areas, especially those that struggle with high populations of homeless and neglected animals.

In 2021, we saved the lives of more than 3,200 animals thanks to the generosity of our volunteers, fosters and donors.
