The Events Coordinator is responsible for planning, organizing, and executing a variety of events for the Brickell Miami Chamber. This volunteer role is essential for fostering community engagement, networking opportunities, and promoting the Chamber’s initiatives through well-executed events. Key Responsibilities: 1. Event Planning and Organization: - Conceptualize and plan a diverse range of events, including networking gatherings, workshops, seminars, and community outreach programs. - Develop event timelines, budgets, and logistics to ensure smooth execution. 2. Venue and Vendor Management: - Research, select, and coordinate with venues for events, ensuring they meet the needs and expectations of attendees. - Liaise with vendors, including caterers, audiovisual teams, and decorators, to arrange necessary services and supplies. 3. Promotion and Marketing: - Collaborate with the Marketing and Communications Manager to create promotional materials for events, including flyers, social media posts, and newsletters. - Utilize various channels to promote events and increase attendance. 4. Registration and Attendance Tracking: - Manage event registration processes, including creating online registration forms and tracking RSVPs. - Ensure accurate attendance records and follow up with participants post-event. 5. On-Site Event Management: - Oversee the setup and breakdown of events, ensuring all logistical details are executed as planned. - Serve as the main point of contact during events, addressing any issues that arise and ensuring a positive experience for attendees. 6. Post-Event Evaluation: - Gather feedback from attendees, sponsors, and partners to assess event success and areas for improvement. - Prepare post-event reports for the Executive Director outlining attendance, feedback, and recommendations for future events. 7. Volunteer Coordination: - Recruit and manage volunteers to assist with event planning and execution. - Provide guidance and support to volunteers during events to ensure effective teamwork. Qualifications: - Strong organizational and multitasking skills. - Excellent communication and interpersonal abilities. - Experience in event planning or coordination is preferred. - Ability to work independently and collaboratively within a team. - Creative problem-solving skills and attention to detail. - Passion for community engagement and the mission of the Brickell Miami Chamber.
