Position Overview:

The Event Planning Lead is a critical volunteer role responsible for the logistics and execution of 2-3 high-impact fundraising events aimed at collectively raising over $100,000 for FOHA. This volunteer will work closely with the strategic event lead, auction volunteer lead, and FOHA staff to ensure smooth, successful events. The Event Planning Lead will oversee all event logistics, manage timelines, coordinate resources, and ensure that all event components are executed flawlessly. This role will primarily support the development team for event execution.

Responsibilities:

- Lead the logistical planning and execution of 2-3 high-impact fundraising events with the goal of raising funds as determined by development staff.

- Coordinate event details such as venues, catering, volunteers, permits, equipment, and supplies.

- Work closely with the strategic event planning lead to ensure event concepts align with fundraising goals and FOHA’s mission.

- Collaborate with the auction volunteer lead to ensure that auction logistics, including item collection and display, are seamlessly integrated into events.

- Develop and manage event timelines, ensuring all tasks are completed on schedule.

- Oversee the volunteer team for each event, providing direction and support during setup, execution, and breakdown.

- Ensure all event staff, volunteers, and vendors are properly coordinated and informed.

- Monitor event budgets and help control costs to stay within budget parameters.

- Troubleshoot and resolve any logistical issues that arise before or during the event.

- Support Heather and Karli in their roles, assisting with any needs related to event execution.

- Ensure post-event follow-up is conducted, including thank-you notes, donor recognition, and evaluation of event outcomes.

Skills & Qualifications:

- Proven experience in event planning and logistics, particularly for large-scale fundraising events.

- Strong organizational and time-management skills, with an ability to manage multiple events and tasks simultaneously.

- Excellent communication and leadership skills to guide volunteers and collaborate with FOHA staff and partners.

- Experience managing budgets, timelines, and vendor relationships.

- Ability to problem-solve and manage unforeseen challenges during events.

- A passion for animal welfare and a commitment to the mission of FOHA.

Time Commitment:

- Approximately 5-15 hours per week leading up to events, with additional hours required during event weeks for setup, execution, and post-event activities.
