Position Description:
- Types final form from field notes or drafts, correspondence, including letters, memoranda, and reports checking for proper format.
- Receives and directs telephone calls or visitors. Ascertains the nature of the call or visit and provides complete and clear information that addresses most routine or procedural issues. Based on general knowledge of the organization, refers telephone callers and visitors to appropriate staff or office. Answers routine, non-technical requests for information.
- Prepares travel documents for all travel by unit employees.
- Responsible for assuring proper maintenance and operation for a variety of office equipment including fax machines, copiers, printers.
- Prepares, consolidates, and submits payroll directly through the payroll system and makes corrections to payroll records as necessary. Advises staff regarding leave, overtime, hazard pay, and related requirements.
- Requisitions office supplies, printing support, and related material/services.
- Establishes, updates and maintains office records. Maintains, purges, and disposes of office records/files in accordance with established regulations and procedures.
- Distributes and controls incoming and outgoing mail.
