Position Overview:

Join the innovative team at Mothers to Daughters (M2D) as the Event Manager and play a leading role in shaping the future of mentorship. This pivotal volunteer role will oversee the planning and execution of the Ball of Wisdom - M2D Mentorship Awards Gala, an event designed to recognize outstanding mentors across various industries. As the Event Manager, you will:

  • Lead the creation of a compelling event proposal to attract partners and sponsors.

  • Develop and manage event timelines, budgets, and logistics to ensure seamless execution.

  • Coordinate, manage and collaborate with team members and external vendors to bring the event vision to life.

  • Ensure the event delivers an unforgettable experience that aligns with M2D's mission and goals.

This role is ideal for an experienced event management professional with strong leadership and organizational skills, eager to create impactful experiences that celebrate the power of mentorship. This is a hybrid position based out Toronto. You will be required to travel up to 25% for this role.

Key Responsibilities:

Event Planning and Strategy:

  • Develop and oversee a comprehensive plan for the M2D Mentorship Awards Gala, aligning with the organization’s vision and goals.

  • Lead the creation of a compelling event proposal to secure partners and sponsors.

Partnership and Sponsorship Development:

  • Identify, approach, and build relationships with potential sponsors, partners, and vendors.

  • Craft sponsorship packages and proposals to attract funding and resources for the event.

Budgeting and Resource Management:

  • Establish and manage the event budget, ensuring cost efficiency and proper allocation of resources.

  • Oversee procurement and vendor negotiations to secure necessary services and supplies.

Team Coordination and Collaboration:

  • Lead and collaborate with a small team of volunteers to execute event objectives.

  • Serve as the primary point of contact for vendors, sponsors, and stakeholders.

Logistics and Execution:

  • Manage event timelines, deliverables, and operational details to ensure seamless execution.

  • Oversee on-site coordination and resolve any issues that arise during the event.

Post-Event Analysis:

  • Gather feedback from attendees, sponsors, and team members to evaluate event success.

  • Provide a detailed post-event report with insights and recommendations for future initiatives.

Qualifications:

  • Proven experience in event management, preferably for corporate, nonprofit, or gala style events.

  • Demonstrated success in securing sponsors or building partnerships for events.

  • Strong project management skills, with the ability to manage multiple tasks and deadlines.

  • Experience creating and managing event budgets.

  • Ability to lead and motivate a team of volunteers or staff.

  • Exceptional interpersonal and communication skills to engage with stakeholders and partners.

  • Budget planning and financial oversight.

  • Vendor and stakeholder negotiation.

  • Creativity in event concept design and execution.

Commitment:

  • Attend team meetings and key organizational events as required.

  • Approximate time commitment: 7-10 hours per week

  • Respond to email or slack messages within 48 hours
