Chief of Staff to Board - Volunteering
Join the Mexican Talent Network in the Netherlands as a "Chief of Staff to the Board of Directors" and become an integral part of our passionate team dedicated to creating community and links between Mexico and the Netherlands. This volunteering position offers a unique opportunity to help us execute our strategy to keep on growing as a community and create more opportunities to build bridges between Mexico and The Netherlands.
Your tasks and deliverables during your volunteering tenure:
- Exercise the right to vote within the decisions to be made by the RdTM-NL board of directors.
- Co-organize periodic meetings of the board of directors, establish the agenda of these, keep minutes of the agreed action points. Send said agenda and minutes to the participants. Record the decisions made by the board of directors.
- Prepare minutes of the official meetings of the RdTM-NL (in person and virtual), as well as of the general assemblies.
- Send in advance the invitations to the meetings (in person and virtual) to all members indicating the procedures of the same. Keep the record of confirmation of attendees.
- Keep control of the calendar of events and activities of the RdTM-NL, including board meetings and general assemblies.
- Archive digital and printed copies of all official communication of the RdTM-NL.
- Maintain an updated Google Drive directory with relevant documents, final documents, presentations and reports, as well as photo galleries of events and meetings.
- Keep important documents arising from each board meeting and general assemblies in an organized manner.
- Is responsible for membership control and the historical directory of RdTM-NL but receives support from the Treasurer and Operations Coordinator.
- Manages the updating of the members' manual on the website, the directory and the website collaborating with the Marketing and Communications coordination.
- Facilitate or coordinate the orientation of new members regarding RdTM-NL information and procedures.
- Keep the association's information updated in organizations such as KVK, ABN, TechSoup, Benevity, CAF America, RGMX Europe, IME, and the Mexican Embassy in the Netherlands, among others.
- Keep the association's list of assets updated.
- Have official residence in the Netherlands (necessary to register with the Chamber of Commerce).
- Preferably, you must have served as coordinator or organizer of an event or project within RdTM-NL. If you have not been a member of the association, commit to attending introductory sessions about the association and the Global MX Network.
- Preferably, you must have experience in administrative coordination or management of projects or activities.
- Minimum time required to perform your role (based on the annual work plan): 1-3 hours per week plus the time required (if necessary) to attend events representing RdTM-NL or MD.
- Submit a letter of motivation including 3 goals to achieve or aspire to during your term.
- Spanish speaking is highly desirable or at least B2 level is needed to fulfill this position.
- Opportunity to work closely with a passionate team dedicated to a meaningful cause, the team has intercultural experience and can provide access to a wide network of professional contacts at an international level.
- Professional positioning and representation as a Board Member.
- Positioning on your LinkedIn profile during the corresponding period. Likewise, at the end of your term, you will receive recommendations and certificates from the MD to which you belonged. These recommendations count greatly in the Netherlands as extracurricular leadership activities.
- Access to coaching and guidance from members of the Board of Directors and the Advisory Council (previous leaders of the Network) to strengthen your administrative and accounting skills.
- Business cards, email and travel expenses when representing the association as part of the MD (if required).
- At the end of your term, you will have acquired or gained experience in team management, administrative management, strategic planning, among others and you will be invited to participate in the Advisory Committee of the organization.
- Mentorship, connection and guidance from experienced professionals from several fields.
- Reimbursement for travel expenses when you have to travel to support or attend Association events.
- Working remotely (and in another time zone if you wish - as long as you commit to the number of hours and activities required)
- Please note, no salary is to be expected on this volunteering position.

About the Network of Mexican Talents in the Netherlands (RdTM-NL): RdTM-NL is a non-profit organization registered in the Netherlands (KVK 61068314) and is committed to fostering an inclusive and diverse environment. The RdTM-NL is recognized by the Institute of Mexicans Abroad and is part of the Mexican Global Network (RGMX), a Civil Society movement that has more than 60 chapters in more than 30 countries around the world. The RdTM-NL is a space to learn, collaborate and exchange knowledge, ideas and projects with Mexican professionals, friends from Mexico or Mexicans residing in the Netherlands. Our network is founded and operated 100% by volunteers. We are committed to making positive change through sharing experiences and knowledge. We organize different activities, meetings, gatherings and conferences to achieve the general objectives of our network and also to connect our members with productive projects in Mexico and the Netherlands.
