Position SummaryThe PostBaby Bliss Foundation is seeking a highly organized and proactive Executive Assistant (Volunteer) to support the Executive Director and leadership team. This key role involves managing administrative tasks, scheduling, communications, and coordination to ensure the smooth operation of the Foundation’s initiatives.
The ideal candidate is detail-oriented, has excellent communication skills, and is passionate about supporting a mission-driven organization. This is a great opportunity for someone looking to gain experience in nonprofit management or contribute their expertise to a meaningful cause.
Key ResponsibilitiesAdministrative Support
Manage the Executive Director’s calendar, schedule meetings, and coordinate appointments.
Prepare agendas, take detailed meeting minutes, and follow up on action items.
Maintain and organize files, records, and correspondence.
Communication & Coordination
Serve as the primary point of contact for internal and external communications related to the Executive Director.
Draft and proofread emails, reports, and presentations as needed.
Coordinate communications with the Board of Directors and key stakeholders.
Event & Program Support
Assist in planning and coordinating meetings, workshops, and special events.
Provide logistical support for programs and initiatives led by the leadership team.
Project Management
Track deadlines and deliverables for key projects and initiatives.
Assist with grant tracking and reporting in collaboration with the Development team.
Other Duties as Assigned
Support the leadership team with additional tasks as needed to advance the Foundation’s mission.
Education & Experience:
Previous experience in administrative support or executive assistance preferred.
Familiarity with nonprofit organizations is a plus.
Skills & Competencies:
Exceptional organizational skills and attention to detail.
Strong verbal and written communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms (e.g., Zoom).
Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
Professional and courteous demeanor with a commitment to confidentiality.
Personal Qualities:
Passionate about supporting postpartum families and advancing the Foundation’s mission.
A proactive, self-starter who can work independently and collaboratively.
Flexible schedule with an average commitment of 10-15 hours per week.
Ability to attend occasional virtual meetings and events.

The PostBaby Bliss Foundation exists to empower, support and uplift postpartum families by providing access to essential postpartum resources, education, and compassionate care during one of life’s most transformative and challenging stages.
Through charitable programs, educational workshops, and community outreach initiatives, the Foundation aims to Promote Maternal and Infant Health through free or subsidized postpartum care, mental health support, and recovery resources, to underserved families. We also aim to educate and empower parents, advance awareness and advocacy, facilitate research and innovation, and foster community connections.
