This is an exciting volunteer position reporting to the Master Facilitator, IAC Operations.
Job Title: Administrative Assistant
Summary:
We are seeking an organized and tech-savvy administrative assistant to support our global community of 600+ facilitators with CRM management, training inquiries, and facilitator coordination. This role is ideal for a student with intermediate experience in technology and communication, with a passion for helping others navigate tech platforms. The ideal candidate will provide essential administrative support, including maintaining the CRM database, assisting with global events, and supporting our regional and international facilitator teams.
Key Responsibilities:
- CRM Management
- Register new facilitators in the CRM system
- Update facilitator records, resolve login issues, and manage duplicate accounts
- Create and manage mailing lists for regional and global communications
- Training Inquiry Support
- Respond promptly and professionally to inquiries related to training opportunities and requirements
- Facilitator Coordination
- Assist VPIA and IAC in searching for facilitators by region or country
- Regularly update and share regional lists with IAC representatives
- Send certificates to newly named Master Facilitators
- Global Event Support
- Provide event support, including sending emails, providing registration information, and analyzing response data
- Portal Updates & Development
- Assist with periodic updates to the facilitator website portal
- Contribute to portal improvement initiatives
Qualifications & Skills:
- Experience using Google Workspace (email management, document sharing, data entry).
- Experience with report generation, and data organization.
- Familiarity with content management software (e.g., SquareSpace) is an asset.
- Strong written communication skills in English, with periodic translation using a program.
- Attention to detail, a proactive approach to assisting users, and a capacity for balancing multiple tasks efficiently.
- This role is well-suited for a student proficient in technology, ideally enrolled in a communications or technology program.
Commitment:
3-5 hours per week with a minimum commitment of 1 year.
