SUMMARY

Reporting to the Associate Director of Education, the Project Coordinator is responsible for assisting our team members in supporting project activities in the Education Group. He/she will work closely with key stakeholders, project managers and team members and act as a liaison between different project leads in the Education Group from the following teams: Education Content, Curriculum Development, and Community Engagement and Outreach. The Project Coordinator takes initiative to identify opportunities, manage project schedules, track risks, issues and assumptions. The Project Coordinator is responsible for implementing and executing control processes, in addition to documenting changes.

PRIMARY RESPONSIBILITIES

  • Maintaining and monitoring project plans, project schedules, work hours, budgets and expenditures.
  • Organizing, attending and participating in stakeholder meetings.
  • Documenting and following up on important actions and decisions from meetings.
  • Preparing necessary presentation materials for meetings.
  • Ensuring project deadlines are met.
  • Determining project changes.
  • Providing administrative support as needed.
  • Undertaking project tasks as required.
  • Track work activities and project statuses of assigned projects.
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Ensure stakeholder views are managed towards the best solution.
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members.
  • Attend regular meetings as necessary.
  • Provide project support to the associate director.
  • Be willing to attend virtual meetings in EST timezone (GMT -4:00) and respond to emails within 24 hours during business days.
  • Perform other duties as required.

EXPERIENCE/REQUIREMENTS:

Education
  • A minimum of 2-year diploma from a recognized post-secondary institution in business administration, communication, project management or similar; equivalencies of education and experience may also be considered.
Requirements
  • Minimum one year of experience in project management.
  • Comfortable learning and using a variety of technical solutions to complete project deliverables.
  • Strong knowledge of Google Sheets and/or Excel.
  • Knowledge of project management methodologies, tools and lifecycle.
  • Experience using Google product applications or GSuite.
Preferred
  • Working towards the CAPM, PMP or its equivalent.
  • Experience with JIRA and Confluence.
  • Familiar with research methodologies and technical writing.
  • Experience in coordinating research projects or similar.
