Position Title: Donation Coordinator/Facilitator

Overview:
We are looking for a passionate and organized Donation Coordinator to lead our efforts in gathering contributions for our Annual Christmas Party for homeless children. This role is vital for ensuring that we have the necessary supplies, gifts, and resources to create a magical holiday experience for the keiki in our community. The ideal candidate will have excellent communication skills, a strong attention to detail, and a heart for service. If you love fundraising to help create a magical evening for homeless children, this is perfect for you.

Duties and Responsibilities:

  1. Donation Outreach:

    • Identify and reach out to potential donors, including local businesses, organizations, and individuals, to solicit in-kind and monetary donations for the Christmas Party.
    • Develop and maintain relationships with current and prospective donors, expressing gratitude and providing updates on the impact of their contributions.
  2. Donation Management:

    • Create and maintain a comprehensive inventory of donations received, tracking items and their sources.
    • Coordinate the logistics of picking up, storing, and organizing donated items in preparation for the event with our team of volunteers.
  3. Communication:

    • Develop clear and engaging communication materials (e.g., letters, emails, social media posts) to inform potential donors about the event and its needs. We do have fliers and letters you can use if you wish.
    • Serve as the primary point of contact for donors, responding to inquiries and providing necessary information.
  4. Donation Drives and Events:

    • OPTIONAL: Organize and manage donation Fundraising events leading up to the Christmas Party to encourage community involvement and support. If you have connections with groups, clubs, etc., this is a perfect opportunity to reach out and coordinate a fundraising event.
    • Promote donation opportunities through various channels, including social media, community boards, and local events.
  5. Reporting:

    • Provide regular updates to the event planning team on donation progress and needs. Done via text or email.
    • Prepare a final report summarizing donations received, donor recognition, and the impact of contributions after the event.
  6. Collaboration:

    • Work closely with the event planning team to understand the specific needs for the Christmas Party and adjust outreach efforts accordingly.
    • Collaborate with other coordinators and volunteers to ensure all aspects of donation collection and distribution run smoothly.

Expectations:

  • Commitment: Be available for pre-event meetings and actively engage in outreach and coordination efforts leading up to the Christmas Party. Mostly via email or phone.
  • Strong Organizational Skills: Demonstrate exceptional organizational skills in managing donations, keeping track of inventory, and coordinating logistics.
  • Proactive Attitude: Take initiative in identifying potential donors and developing strategies to secure contributions.
  • Excellent Communication Skills: Exhibit strong verbal and written communication skills to effectively engage and cultivate donor relationships.
  • Team Player: Collaborate effectively with the event planning team and volunteers, fostering a positive and supportive environment.

Project Hawai’i, Inc. is an award-winning, volunteer-driven nonprofit dedicated to serving over 1,600 homeless children annually across O'ahu, Maui, and the Big Island of Hawai'i. We aim to transform the lives of these children by providing stability through engaging programs such as educational summer camps, holiday events, school support, and life skills training. In addition, we offer monthly outreach services, ensuring children have access to nutritious meals, personal hygiene supplies, and emergency resources.

Since our founding in 2003, we are proud to have helped over 2,000 homeless children break free from the cycle of poverty, empowering them to build stronger, more secure futures for themselves and their families.

With more than 23,000 children in Hawai'i living in substandard and homeless conditions, our mission is to end the cycle of poverty for Hawai'i’s keiki.
