The People Generalist (Onboarding/Offboarding) plays a vital role in ensuring the smooth entry and exit of volunteers within the organization. This role focuses on managing the entire onboarding process for new volunteers, ensuring they are welcomed and integrated, and overseeing the offboarding process when volunteers conclude their service. The People Generalist is the primary point of contact for new volunteers and ensures that all administrative tasks, guidance, and support are provided during onboarding and offboarding phases.

Key Responsibilities:

  • Onboarding Process Management:
    Lead the onboarding process, including preparing welcome materials, conducting orientation sessions, and ensuring all necessary paperwork is completed.

  • Volunteer Integration:
    Facilitate smooth integration by introducing new volunteers to team members, policies, and the organization’s mission. Organize mentorship or buddy programs to support volunteers during their initial days.

  • Offboarding Process:
    Oversee the offboarding process for volunteers leaving the organization. Conduct exit interviews, gather feedback, and ensure all necessary paperwork and documentation are finalized.

  • Policy Communication:
    Provide clear and consistent communication regarding the organization’s policies, expectations, and culture during both onboarding and offboarding.

  • Feedback Collection:
    Gather feedback from volunteers at both entry and exit points to improve the onboarding/offboarding processes and overall volunteer experience.

  • Volunteer Support:
    Act as a point of contact for volunteers during their onboarding and offboarding phases, answering questions and providing guidance.

  • Documentation Management:
    Maintain accurate records of onboarding and offboarding processes, ensuring compliance with organizational standards and volunteer agreements.

Skills and Qualifications:

  • Strong Organizational Skills:
    Ability to manage multiple tasks, organize onboarding and offboarding schedules, and ensure that all processes are completed efficiently.

  • Communication Skills:
    Excellent verbal and written communication skills to explain policies, procedures, and the organization's mission to volunteers.

  • Interpersonal Skills:
    Ability to create a welcoming and supportive environment, ensuring volunteers feel comfortable and informed throughout their experience.

  • Attention to Detail:
    Ensuring all onboarding/offboarding documents and procedures are accurately completed and tracked.

  • Feedback Management:
    Experience in gathering and analyzing feedback to continually improve processes.

  • Experience in Volunteer Management (preferred):
    Prior experience working in volunteer or people management roles is a plus.
